We are seeking a Senior Human Resources Compliance Analyst to join our team for this hybrid opportunity out of our Waltham, MA office.
Job Summary
The Sr. HR Compliance Analyst supports the development, implementation and administration of HRs global compliance programs.
This position is responsible for ensuring HR practices and policies comply with federal, state, and local employment laws and regulations.
This role involves monitoring and assessing HR compliance, conducting audits, and providing guidance on regulatory issues.
The HR Compliance Analyst will work closely within the HR department as well as legal, IT, security, and other departments to maintain and enhance compliance programs and practices.
This position is based in Imprivatas Corporate Office in Massachusetts and reports to the Chief People Officer.
Duties and Responsibilities
- Review regulatory or policy required forms, notices, disclosures, etc., assisting in their design / development or revision, as assigned by Human Resources, IT or Imprivatas Legal Department.
- Regularly review, monitor, and audit HR policies, practices, and records to ensure compliance with relevant laws and regulations.
- Stay updated on changes in employment law and regulations and assess their impact on the organization.
- Manage and track compliance-related documentation.
- Manage the data gathering, analysis and reporting for compliance programs such as EEO, VETS, and Affirmative Action Plans.
- Responsible for the management of office federal, state, local, etc. posting requirements and notifications for remote employees.
- Maintain companys current job description database; work with management to create new job descriptions and to ensure current job descriptions are still valid.
Consult with Compensation Analyst for alignment on FLSA and other compensation requirements
- Maintain Imprivatas US employee handbook (The Imprivata Guide), and supplemental international country guides as needed.
- HR representative / data steward for Imprivatas Privacy Committee; provide regular updates in monthly meetings relating to HR compliance.
- Manage Employee Biometric Consent form process
- Prepare and present detailed reports on audit findings, compliance status, and recommendations for improvement.
- Provide guidance to HR staff and management on compliance issues and policy interpretation.
- Assist in the development and delivery of training programs on compliance-related topics for HR staff and other employees.
- Identify potential compliance risks and work with HR team to develop strategies to mitigate them.
- Assist in the investigation and resolution of compliance issues, related to HR policies.
Other HR Responsibilities
Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks;
participating in professional organizations; completing research on matters of importance.
- Work closely with other HR team members to continually enhance employee compliance related communications, training, recruiting, and other initiatives.
- Participates in developing department goals, objectives, and systems.
- Participates in department staff meetings and attends other meetings and seminars as needed.
- Performs other related duties as required and assigned.
Qualifications
- Bachelors degree in Business Administration, Human Resources, or related discipline.
- Minimum of 5+ years of experience in HR compliance, HR administration or related field.
- Experience with US employment laws, regulations, and HR compliance issues is required.
- Familiarity with UK, Germany, and other country laws and regulations a plus.
- Working knowledge of federal and state employment laws, including Affirmative Action and OFCCP regulations, EEO regulations, anti-discrimination, harassment, and retaliation laws, and federal and state wage and hour laws.
- Strong attention to detail and ability to manage programs and projects with minimal guidance.
- Highly effective verbal and written communication skills.
- Ability to write reports with various reporting writing tools.
- Must be proficient with various computer applications, including Microsoft Office.
- Experience with HRIS systems and compliance management tools is a plus.
- Must be self-motivated, flexible, energetic, ability to multi-task, and work in a fast-paced environment.
- Ability to work independently and collaboratively in a team environment.
- Ability to handle sensitive information with discretion and confidentiality.
This position offers a salary range of $121,800.00 to $131,800.00 (inclusive of variable compensation such as bonuses and incentives).

Actual salaries will vary and may be above or below the range based on various factors, such as a candidates location, skills, experience, and qualifications.
