Requirements

Essential Functions (Branch Administrator) :

  • Generating and managing invoices : This involves accurately creating invoices for products or services provided by the company and ensuring they are sent out in a timely manner.
  • Overseeing payroll : This entails reviewing and approving employee timecards, ensuring accuracy in payroll calculations, and guaranteeing timely payment to employees.
  • Managing incoming shipments and returns : This involves handling the receipt of incoming shipments, processing returned items, and making necessary adjustments to inventory and documentation.
  • Reconciling accounts payable transactions : This requires comparing accounts payable records with invoices and statements to ensure accuracy and resolving any discrepancies that may arise.
  • Assisting with onboarding new employees : This includes helping new hires complete necessary paperwork, facilitating orientation, and coordinating training activities.
  • Organizing and maintaining files and documents : This involves keeping both physical and digital files organized and easily accessible for record-keeping purposes.
  • Managing office supply inventory : This requires monitoring office supply levels, ordering supplies as needed, and ensuring the availability of necessary items for office operations.
  • Planning and coordinating company events : This includes organizing meetings, conferences, or social gatherings, and ensuring all logistical aspects are properly arranged.
  • Managing cash transactions : This involves handling cash transactions, balancing cash drawers, and maintaining accuracy in cash handling procedures.
  • Facilitating branch transfers : This entails coordinating the transfer of goods or materials between different branches or locations of the company as needed.
  • Completing month-end financial tasks : This includes tasks such as financial reporting, reconciliations, and other closing procedures to ensure accurate financial records.
  • Assisting the purchasing department : This involves helping with procurement activities such as vendor communication, order processing, and inventory management.
  • Providing customer support : This includes addressing customer inquiries and resolving issues related to accounts or transactions to ensure a positive customer experience.
  • Providing administrative support for meetings : This entails scheduling meetings, preparing materials, and coordinating logistics to ensure meetings run smoothly.

Qualifications :

  • Strong communication skills : Ability to communicate clearly and concisely, both verbally and in writing, is essential for effectively representing the Managing Partner (MP), preparing presentations, reports, and documents, and handling incoming telephone calls.
  • Organizational skills : Capacity to manage and maintain the Managing Partner's schedule, appointments, expenses, and travel arrangements demonstrates strong organizational skills.
  • Problem-solving abilities : Bringing concerns and solutions to the attention of the Managing Partner as needed requires the ability to identify issues and develop effective solutions.
  • Professionalism and discretion : Handling confidential and non-routine information while maintaining confidentiality demonstrates professionalism and discretion.
  • Meeting management : Scheduling and planning all regular and special staff meetings, organizing various meetings, and preparing meeting agendas and minutes require effective meeting management skills.
  • Decision-making skills : Making independent decisions and judgments on areas of responsibility with limited supervision demonstrates strong decision-making skills.
  • Project management skills : Taking on special projects and driving them to completion requires effective project management skills, including planning, organization, and execution.
  • Research and analytical skills : Strong research and analytical skills are necessary for various tasks, such as preparing reports, gathering information, and solving problems.
  • Attention to detail : Ability to prioritize and handle issues and department queries with appropriate judgment to ensure quality service and resolution indicates attention to detail.
  • Flexibility and adaptability : Willingness to enthusiastically complete both high-level and low-level tasks demonstrates flexibility and adaptability to different responsibilities.

Work Environment :

The work environment for this role is predominantly situated within a warehouse / branch environment. The environment for this role is characterized by its fast-paced nature, the need for effective communication and collaboration, and the requirement for exceptional organizational skills and attention to detail to ensure the efficient operation of the office.

Physical Demands :

The role involves primarily sedentary tasks, such as invoicing, payroll processing, and document preparation, which require sitting at a desk for extended periods.

It also entails extensive use of computers for typing and navigation. There may be instances of standing or walking, such as greeting visitors or attending meetings.

While lifting and carrying office supplies may occur occasionally, phone usage, manual dexterity, and repetitive motions are also part of the job.

Visual strain from reading documents on screens or paper may require breaks, and driving may be necessary for travel arrangements, involving extended periods of sitting and vehicle operation.

Position Type and Expected Hours of Work :

This is a full-time position. Days and hours of work are Monday through Friday, Hours may Vary.

Travel :

Travel is not required for this position.

Required Education and Experience :

Education : High school diploma / GED required.

Experience : Previous experience representing high-level executives in various situations to both internal staff and external audiences is preferred.
