Our Opening and Your Responsibilities
- Provide a broad range of administrative duties for the GM, HR, and the leadership team for MTMS & AM-HUB.
- Directly support General Managers with travel arrangements, expense reports, scheduling assistance, calendar updates, report preparation and other assignments, as needed.
- Assist the General Manager with reporting, Key Performance Indicators (KPI) management, and presentation creation.
- Support the Human Resources team with various assigned tasks (SAP entries & reporting, interview scheduling, leave management, send birthday cards monthly for both units, etc.).
- Assist HR to plan, coordinate and execute employee activities including the flu shot clinics and biometric screenings.
- Lead the Employee Engagement Committee and support Employee Recognition, including years of service awards and retirements.
- Assist with meeting & presentation assistance; communicate meeting information, gather, and compile slides, assign guest speakers, and prepare agendas.
- Event planning for local in office and after-hours events, including catering, set-up / clean up, A / V requirements, group dinner arrangements and transportation.
- Plan and manage travel arrangements through Concur, including local and international ground / air transportation and hotel reservations.
- Manage and assist with visas, passports and Letter of Invitations as needed for travel.
- Support Corporate programs, including the Scholarship Program.
- Greet scheduled visitors and escort to appropriate area or person.
- Prepare outgoing and distribute incoming mail. Manage unit SharePoint site as needed.
- Order & maintain office supplies.
- Special projects as requested.
- Run various errands required to support business activities.
- Other duties may be assigned.
What You Need to Succeed
Associate’s degree (A. A.) or equivalent from two-year college preferred, but not required; and three to five years of administrative support experience;
or equivalent combination of education and experience.
