POSITION SUMMARY

Greenpeace US (GPUS) is seeking an experienced Senior Grants Manager to work with our Institutional Partnerships and Program Teams to help Greenpeace expand its foundations fundraising and program strategy through subgrants and contracts to other organizations and to help in developing systems that will work in and align with the Greenpeace ecosystem.

The Senior Grants Manager position is an integral role on the Institutional Partnerships Team in GPUS’s Development Department.

This position collaborates closely with the IP Team, Programs, Finance, and Legal Teams to ensure that all agreements are properly constructed, the terms and conditions of agreements are met and all grants and sub-grants are properly documented and implemented.

The Senior Grants Manager also assists Program and Finance staff with contract administration and budgets associated with foundation grants, as needed.

The Senior Grants Manager creates grant budgets, revenue projections and key performance indicators for the Institutional Partnerships Team.

This position will also provide analysis on opportunities and challenges for increasing the efficiency and effectiveness of foundation fundraising.

The Senior Grants Manager works directly with the Development and Programs Operations teams to build consistent practices around the recording of donor relationships, interactions, grants and sub-grants to other organizations in our Customer Relationship Management system (CRM).

The position will also develop and implement grants management policies and procedures to track revenue and data.

The Senior Grants Manager, 8-month contract is an exempt, full-time, benefits-eligible role that can be based in any location Greenpeace USA is authorized to work : CA, CT, DC, MD, NJ, NY, VA.

This role reports to the CHief Development Officer.

ROLE RESPONSIBILITIES

Grants Management :

  • Reviewing all grants proposals and working with the Program and Development staff to ensure draft proposals meet guideline requirements and state / federal regulations.
  • Providing technical assistance as needed in the drafting and processing of proposals, contracts, subgrants, and grants to other organizations..
  • Assembling proposal budgets in collaboration with fundraising, legal, and finance staff.
  • Monitoring grant budgets and ensuring that financial practices align with grant guidelines.
  • Serving as the primary point of contact to clarify or negotiate all administrative and financial requirements contained in the proposals, agreements, and amendments.
  • Working with the Legal Team to review and revise grant agreements as needed.
  • Working with Greenpeace International and Greenpeace offices around the world to ensure that grants are properly structured, submitted, and documented.
  • Collaborating on the development and implementation of evaluation strategies to assess the impact and effectiveness of grant-funded programs, and the impact of Greenpeace grants and subgrants.
  • Implementing and maintaining tracking and administrative processes to assist program staff in managing the agreements and ensure timely submission of all deliverables, and approve any extension and / or budget changes.
  • Keeping Program Staff apprised of the status of individual grants and contracts and alerting them to deadlines and expiration dates.
  • Ensuring timely receipt and appropriate application of grant payments.

Development of a Grants Management System :

Project managing the development of new processes and practices in partnership with the Development Operations, Program Operations, Finance, and Legal Teams.

Sub-Granting and Grant Making Responsibilities :

  • Documenting and tracking compliance to the selection criteria for grantees and subgrantees
  • Creating guidelines, application forms, budget templates and reporting templates. Develop agreement templates that include terms, conditions, and compliance requirements.
  • Conducting due diligence checks on potential grantees and sub-grantees
  • Preparing a sub-grant agreement outlining the project scope, budget, deliverables, reporting requirements, and compliance obligations.
  • Monitoring sub-grantee compliance with the terms of the sub-grant agreement, including adherence to funding requirements and regulatory standards.
  • Ensuring all final reports, financial statements, and deliverables are received and reviewed.
  • Confirming that all funds have been appropriately expended and officially close out the sub-grant agreement with a formal notice to the sub-grantee

Record Keeping and Compliance :

Maintaining organized and thorough records related to grant activities, including documentation of communications, reports, comprehensive calendar tracking, CRM updates (e.

g. Salesforce) and other relevant materials.

  • Processing all incoming grants by working with Legal, updating Salesforce and Asana and drafting Grant Award Memos and acknowledgement letters.
  • Monitoring and ensuring compliance with grant requirements, guidelines, and reporting deadlines. This includes keeping abreast of changes in regulations and policies related to grant management.
  • Reconciling financial information, identifying variances. Investigating and resolving accounting discrepancies and ensuring that properly documented adjustments are made.
  • Identifying potential risks and challenges associated with grant-funded projects and developing strategies to mitigate these risks.
  • Staying informed about best practices in grant management.

Budgeting and Analysis :

  • Developing and managing budgets for grants and contracts, including quarterly forecasts for grant income and expenditures and financial planning.
  • Coordinating with finance and accounting departments to ensure accurate financial reporting and auditing.
  • Monitoring and analyzing grant and contract expenditures to ensure funds are used appropriately.

ROLE REQUIREMENTS

Knowledge and Experience :

  • Minimum 5 years of significant experience in grant management, with a proven track record of successfully managing grants.
  • Minimum 2 years of experience in sub-granting and grants administration.
  • Previous experience demonstrating leadership skills, including developing and implementing grant management processes and the ability to motivate and guide collaborators, stakeholders and team members
  • Experience ensuring adherence to grant guidelines and reporting deadlines
  • Experience working in a large and / or international organization, especially those focused on environmental issues or advocacy
  • Experience in 501(c)(4) fundraising and navigating lobbying restrictions in donor proposals
  • Proficiency in budget development, financial management, and fiscal responsibility
  • In-depth understanding of grant writing, budgeting, compliance, and reporting processes. Familiarity with both 501(c)3 and 501 (c)4 organizations preferred
  • Nonprofit Sector Knowledge : Familiarity with the unique challenges and opportunities of advocacy work within the nonprofit sector
  • Proficiency in using relevant software and tools for grant management, budgeting, and reporting. Salesforce experience preferred.
  • Compliance Expertise : Knowledge of grant compliance requirements and regulations.
  • Familiarity with the conceptual terminology and logframes used by foundations, preferred

  • Flexibility and adaptability to navigate changing priorities, responsibilities, expectations, trends, strategies and unforeseen challenges
  • Exceptional writing, editing, and communication skills, including the ability to effectively communicate complex information to various stakeholders, including funders, team members, and external partners
  • Relationships-building skills necessary to building and maintaining relationships with funders, partners, and stakeholders.
