Summary : O.Berk of New England is looking for an Executive Assistant to support the Director of Sales. This role will coordinate and manage executive scheduling, prepare and organize important research materials and plans, support department and inter-company meetings, and arrange travel for the executive.
This role serves as the eyes and ears for the Director, connecting organizations, projects, and critical business information to the executive, ensuring meetings and materials are efficient and effective, and serves as a trusted partner to deliver against the priorities of the business.
The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Directors needs.
The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, customers, vendors, and all levels of the organization.
To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion.
Responsibilities :
- Administrative tasks : Responding to correspondence, setting up appointments, and completing documents
- Calendar management : Coordinating calendars and organizing meetings
- Communication : Acting as a point of contact between the Director and others, and organizing phone calls and emails
- Planning : Assisting with planning appointments, events, and travel
- Prepare the Directors expense reports
- Screen incoming calls; take and deliver accurate messages; respond to requests by gathering and providing information within the scope of knowledge / responsibility
- Reporting : Preparing regular reports and updating internal databases as needed or instructed
- Anticipation : Anticipating the needs and preferences of the Director
- Excellent communication and time management skills; proven ability to meet deadlines.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the Director is involved with
- Represent the Company and the Director in a positive light through great follow-through skills and sound judgment.
- Conserve the Director's time by reading, researching, collecting, and analyzing information as needed, in advance.
- Complete ad hoc projects as assigned
- Organize complex calendars and schedules; resolving any scheduling issues
Required Skills :
- Bachelors degree or equivalent experience
- At least 5 years of experience in a similar role supporting senior leadership or c-suite
- Advanced proficiency in Microsoft Office (Outlook, Excel, Word, etc.)
- Familiarity with CRM software
- Discretion and confidentiality : able to act with tact and manage sensitive matters with a high level of confidentiality
- Communication : excellent verbal and written communication skills - able to interact with people of all levels in a confident, professional manner.
- Organization : excellent organizational and multitasking skills
- Judgment : exhibit sound judgment and be able to prioritize and make decisions
- Teamwork : able to cultivate productive working relationships across the firm
- Ability to think outside the box with a sense of urgency
