Position Summary
ION is looking for a full-time, detail-oriented, and dedicated Assistant Office Manager to join our growing company. This role will play a crucial role in ensuring the efficient functioning of the office.
This position involves a variety of administrative tasks, event coordination, and food & beverage management as well as supporting the General Manager in daily operations.
The ideal candidate will be highly organized, possess excellent communication skills, and be capable of multitasking in a fast-paced environment.
As a member of a rapidly growing company that is leading and developing the new industry of carbon capture technology, a successful candidate will have the ability to learn quickly and will be able to identify areas of improvement to implement solutions, while balancing other responsibilities.

Essential Duties and Responsibilities :
- Assist the General Manager in planning and implementing office policies and procedures.
- Manage office supplies inventory and place orders as needed.
- Handle incoming and outgoing shipments, mail, and deliveries.
- Assist General Manager in travel arrangements for staff.
- Assist General Manager in planning, organizing, and execution of corporate events such as conferences, employee parties / events, and executive retreats.
- Manage the inventory of pantry and kitchen supplies, including snacks, beverages, and office groceries.
- Place food orders based on the office’s needs, dietary restrictions, and preferences.
- Maintain office records, files, and databases, ensuring all documents are properly organized and accessible.
- Assist in the office maintenance and cleanliness, liaising with vendors and service providers as necessary.
- Handle confidential information with discretion and professionalism.
- Provide general administrative support to the General Manager as needed.
Qualifications, Education, and Experience :
- 1-3 years proven experience in an administrative, office management role or a related field of equivalent experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and multitasking skill
- Excellent verbal and written communication skills
- Attention to detail and problem-solving skills
- Ability to work independently and as part of a team.
- Familiarity with office equipment and basic IT troubleshooting.
- High school diploma or equivalent; additional qualifications in office administration are a plus.
Position Type / Working Conditions :
This is a full-time position working standard business hours. This position may require the flexibility to work diverse schedules, including evenings, weekends, and holidays.
On occasion, this position may require up to 15% travel. Flexibility in work schedules and locations may be offered at manager’s discretion after demonstrated results in the role.
- This position is for Boulder, CO location. The employee is required to be primarily in the office with some remote work allowable with prior approval.
