General Statement of Duties and Responsibilities :
The Department of Mental Health is seeking a dynamic and energetic individual to the position of Clerk III.The selected candidate will provide clerical support on an adult psychiatric unit.
The selected candidate must be flexible, dependable, and interact well with professional staff, clerical support staff and patients.
Please Note : This position is Full time, 37.5 hours per week.Days off are Saturday / Sunday
Duties and Responsibilities (These duties and responsibilities are not all inclusive) :
- Completes A / D / T and Unit Group Attendance assignments in accurate and timely manner.
- Arranges for clinical and medical appointments as ordered, coordination transportation and staff escorts with nursing staff to facilitate delivery of appropriate treatment.
- Answers telephones, transferring calls, taking messages, answering questions, to facilitate communications in the work area.
- Assists in emergency situations by placing telephone calls as directed to insure immediate response and maintain a safe working environment.
- Maintains patient charts, filing documents promptly in an orderly filing system to facilitate agency compliance with established regulations.
- Retrieves records, correspondence, etc. from charts / files for Xeroxing and communication purposes.
- Completes review of patient record at time of discharge to ensure accuracy and completeness of record.
- Receives and distributes incoming mail to facilitate effective communication and organization.
- Makes photocopies, faxes documents, utilizes computer as required to maximize time utilization.
- Types correspondence, memorandums and meeting notes as required to promote organization and communication.
- Reviews forms, lists (team list, bed list, etc.), documents and / or correspondence for accuracy and completeness.
- Maintains adequate supply of forms for unit and keeps them filed allowing accessibility.
- Operates standard office machines and equipment.
- Participates in maintaining a safe environment by requesting repairs for unsafe conditions, completing work orders and advising supervisory staff.
- Participates in hospital-wide committees as assigned.
- Practices principles of CARE when necessary to provide a safe environment.
- Actively participates in the Improved Operational Performance process at the office and hospital wide level to improve the quality of care
- Maintains and communicates to Nursing Staff a thorough knowledge of DMH, DPH, CMS and Joint Commission and HIPPA Standards in order to maintain standards of care.
- Other duties as requested / assigned.
Required Qualifications :
- Well versed in the English language including spelling, word meaning and word usage with the capability to read, write an comprehend the English Language.
- The ability to use proper English grammar, punctuation and spelling
- The ability to work accurately with names, numbers, codes and / or symbols.
- Ability to file material in accordance with standard filing procedures.
- Ability to maintain accurate records.
Preferred Qualifications :
- High School Diploma or GED
- Excellent communication and interpersonal skills
- Strong attention to detail
- Ability to prioritize and handle multiple tasks
- Given the population served, bilingual or multilingual fluency
