Eenhoorn, LLC recognized as a 2024 Best and Brightest Companies to Work for in the Nation Winner is looking for an Executive Assistant to join our team in our Support Center office, located in Grand Rapids, MI.
The Executive Assistant is a high-energy individual who will provide executive level assistance and be a primary support person for the Owner, Family Office and the President.
This dynamic role will provide the highest level of support by proactively managing and prioritizing all incoming and outgoing communications, extensive scheduling and calendar management, maintaining a contacts database, and assisting with events and special projects.
The ideal candidate will be highly organized, have exceptional attention to detail and be dedicated to maximize executive's time by providing seamless support.
This is an exciting opportunity to manage the professional and personal responsibilities of our leaders. This is a full-time, salaried exempt position, reporting directly to the Owner.
What You Will Be Doing
Performs variety of administrative support functions, including typing of correspondence, reports, and internal memos; compilation of complex spreadsheets and desktop publishing;
drafts letters and memoranda from rough notes or general instruction; composes original correspondence as appropriate; proofreads all documents.
Receives and screen incoming telephone calls; conducts thorough screening, taking initiative to handle phone inquiries from inception to completion;
provides information when appropriate, and / or directs inquiries to proper channel; greets visitors.
Schedules appointments and maintains computerized calendar system; sets up conference calls and video conference meetings; coordinates meeting
arrangements; prepares agendas for management.
- Maintain Corporate Airplane Calendar which includes scheduling flights and preparing itineraries.
- Create a Family Office Calendar for important dates, reminders and due dates of payables.
- Scanning / uploading items into FileHold.
- Maintain list of Eenhoorn owned vehicles for fleet maintenance.
- Receives and reads incoming mail for President; determines level of priority and follows through on correspondence independently as appropriate.
- Represents the Owner in his absence through interaction with Support Center staff, Property Managers and property staff.
- Coordinates and schedules Eenhoorn Annual Employee Awards Trip.
- Acts as a project manager for special projects at the request of the President and Owner, which may include : planning and coordinating multiple presentations, disseminating information, and organizing company-wide events.
- Maintains general business files and manuals and President’s personal files as requested.
- Handles multiple priorities and deadlines with excellent follow through and confidentiality.
- Researches and coordinates comprehensive travel arrangements for the President, the Owner and his family; maintains itineraries.
- Assist with family projects, special events, etc.
- Coordinates Christmas card distribution and gift giving, e.g. selects, addresses, and mails cards.
- Participate with Human Resources to promote greater health awareness, team building, and community involvement. In addition to coordinating company special events and Support Center events.
- Participates in other projects and support activities as assigned.
What is Preferred for Success
- Associates degree or equivalent.
- 5 years of experience providing administrative support to a senior level executives.
- Project management experience is preferred.
- High level of energy.
- A professional appearance and telephone manner, an attitude of striving to exceed expectations, and a personal demeanor of flexibility and graciousness are essential.
- High level of interpersonal skills to handle sensitive and confidential situations; position continually requires demonstrated poise, tact, and diplomacy.
- Must demonstrate attention to detail and excellent organization skills with ability to initiate, prioritize, manage, and follow through on projects, work independently, and be self-directed.
- Excellent verbal and written communication skills; good command of the English language, oral and written.
- Must be proficient in a variety of computer software applications in word processing, spreadsheets, database, and presentation software (MS Word, Excel, Power Point, Outlook, and the Internet.)
- Must be effective at interfacing with individuals at all levels of the organization.
