Oncology Scheduler

Position Summary The OR Scheduling Specialist will receive request for surgical procedures, coordinates / schedules surgical services using established hospital protocols and comprehensive knowledge of case types and resource availability.

Collects and validates high quality patient demographics, guarantor insurance info, authorizations, resource availability, CPT, HCPCS and ICD10 codes.

Practices phone etiquette and develops a relationship with various physician offices ensuring patient needs are met, including accommodating and facilitating special request for surgical resources.

Resolves all scheduling / resource utilization conflicts. Validates surgical schedules with physician offices ensuring optimal operating schedule to support efficient use of staff and resources.

Monitors and manages block time including procedures, releases and protocols. Performs additional clerical roles such as scheduling patients for follow-up appointments, diagnostic procedures and therapeutic interventions.

Assist in verification of patient demographics, insurance, patient collections and next-day prep when needed.

• Education Associates of Healthcare - Preferred
• Experience 1-2 years of EMR and RIS experience - Preferred Medical office or hospital setting - Preferred

• Core Job Functions Ensures accurate scheduling, rescheduling, cancellations and verification of the patient’s appointment with the correct MD, modality, special equipment and studies.

Follows the orders of physician and APP, schedules patients for diagnostic procedures and therapeutic interventions. Refers patients to correct laboratory, imaging center, hospital or specialist.

Obtains appropriate documentation and forms for surgical charts. Audits medical records to ensure pre-operative orders are completed / received, surgical clearance is received when requested, and all other records are in chart for physician’s access during procedures.

Evaluates medical records for documentation consistency and adequacy. Physicians are queried for missing documentation to assure accurate coding.

Present pre-operative order results to physician for sign off prior to scheduled procedure. Ensure all orders and necessary medical records are faxed to the Bronchoscopy Suite prior to day of surgery.

Confirm patients have been scheduled a follow-up post-procedure with appropriate physician. Meets department production standards.

Meets department quality standards. Ensure open procedure space is filled with another patient and any cancelled patients are rescheduled for procedure pending insurance approval or resolution of initial delay in scheduling.

Communicates timely with the appropriate department / staff all pertinent appointment information. Effectively provide patient's and physician office staff scheduling guidelines and protocols.

Verify MD orders via Meditech. Ensure providers surgical schedule reflects any time off or changes in typical schedule template.

Compliant with accessing and extracting confidential patient information for acquiring insurance authorizations. Clear, precise communication.

Collaborate with appropriate departments to eliminate precertification denials. Ensure all procedures are placed on MD’s calendar as well as scheduled with Surgery Posting Complete additional office coordinator functions.

Electronic and paper filing systems are maintained. Answers phones, schedules appointments and routes calls appropriately.

Assist in preparing next-day encounters to include insurance verification, demographic verification and patient collections when help is needed.
