Special Note This is a full-time, overtime eligible, grant-funded project position in Business Services on the Olympia Campus of The Evergreen State College.
This project position is funded through June 30, 2027. Position Purpose Under the general supervision of the Accounting Manager, provide Foundation accounting and Longhouse grants management support and analysis, as well as back-up support for Grants Accountant.
Nature and Scope Essential Functions
- Monitor the Foundation side of the Longhouse grants budget and spending; request grant fund transfers from the Foundation annually, quarterly, or monthly.
- Work with Longhouse staff to prepare Longhouse grant budget entries.
- Work with Longhouse and Foundation staff to prepare and process regranting payments timely and accurately.
- Review Foundation journal entries and payment transactions for fund availabilities and accounting coding accuracy; initiate corrections as needed.
- Prepare monthly Due To and Due From entries between the college and Foundation and request bank fund transfers accordingly.
- Review and monitor the Foundation daily gift entry feed to Banner Finance and identify and correct errors to ensure batches are posted on time.
- Work with Foundation staff to prepare quarterly assessment fee entries.
- Review and approve scholarship and grant funds transfer entries submitted by the Foundation.
- Prepare quarterly Foundation investment gain and loss entries to reflect accurate financial information in quarterly and annual financial statements.
- Assist with quarterly Foundation financial statements and annual audited financial statements preparation.
- Prepare budget reports and analyze budget information as needed.
- Assist with general ledger account reconciliation for both Foundation and college chart of accounts.
- Serve as backup for Grants and Contracts Accountant position.
- Serve on committees and attend meetings as assigned.
- Other related duties and projects as assigned.
Additional Duties Knowledge Skills and Abilities
- Knowledge of state fund accounting, Governmental Accounting Standards Board (GASB), Financial Accounting Standards Board (FASB), and Generally Accepted Accounting Principles (GAAP).
- Familiarity with and understanding of the preparation and analysis of a variety of financial statements using various formats.
- Familiarity with the grant life cycle and Uniform Guidance framework.
- Ability to research and analyze complex accounting issues.
- Excellent communications skills as well as the ability to work collaboratively and as a member of various teams to provide effective service in person, in the field, on the telephone, electronically, and in group or team environments.
- Excellent computer skills, specifically working in a Windows environment with emphasis in Excel and Word.
- Knowledge of server based accounting systems, such as Banner.
- Ability to work independently.
- Ability to successfully work under pressure and multi-task, requiring a high degree of attention to detail and the ability to meet deadlines.
- Possess good customer relations skills, including the ability to communicate technical accounting language and terms in a user-friendly format.
Minimum Qualifications Desired Qualifications
- Three years of experience in fiscal transaction processing and record keeping.
- Experience with integrated financial databases and electronic record keeping system.
- Three years of experience supporting, reporting on, and tracking grants.
Conditions of Employment
- Must provide proof of identity and employment eligibility within three days of beginning work.
- This position is part of a bargaining unit and covered by a collective bargaining agreement.
