SUMMARY

Provide support for grant submissions and awards

Proposal Submissions Work with Principal Investigators and the Office of Sponsored Programs to submit grant proposals to federal and non-federal sponsors.

Oversees the preparation and maintenance of a funded project database. This includes all entries of new grant submissions.

Coordinates the implementation of systems, policies, and procedures affecting the submission, review, approval, contract negotiation, activation, regulation, tracking, and reporting of and submission of grant applications according to institutional and external requirements.

Ensures that administrative staff has all appropriate grant forms and regulatory requirements pertaining each grant submission.

Review grant applications prior to submission to ensure quality and regulatory compliance. Alerts Administration to insufficient resources to meet required deadlines.

Communicates and negotiates, at all levels, regarding decisions around the grant process. Communicates with the Office of Research Administration, Grants and Contracts Accounting, and funding agency regarding grant preparation / submission.

Communicates with personnel at other institutions regarding deadlines, budgets and other requirements for division collaborative grants.

Award negotiations Work with Principal Investigators and the Office of Sponsored Programs to submit requested documentation to sponsor, negotiate new awards and set-up award accounts.

Award management Work with Principal Investigators and Grants and Contracts to monitor active awards, submit progress reports and assist with closeout of awards.

Reviews grant and contract awards for restrictions and special conditions and relays this to the award recipient. Assists with managing grant funds and fund allocation across multiple projects and reports appropriately.

Assists with maintaining accurate accounting of grants, monthly account status reports, reconciliation and reporting on grant related sponsored programs and grant accounts.

Assists with maintaining a complete and accurate Department's grant database. Prepares as requested by the Grant Program Manager the annual as well as requested Grant Report which includes grant publications and proposals for the Department and the Division.

Find new funding opportunities Assists Grant Program Manager in identifying new grant funding opportunities for faculty. Interacts with granting agencies to obtain information on the future funding opportunities and acts as resource to faculty regarding granting opportunities relevant to their research programs.

Required Experience :

Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis.

With preferred degree, one year of experience required.

Preferred Experience / Skills :

Grant management (including pre- and post-award, progress reports, no-cost extensions, close-outs, reconciliation, effort and salary distributions) and CLICK and sponsor systems, experience with grant budget development and budget justifications, understanding of OSP, ORA, GCA, funding agency (NIH, DoD, CPRIT) grant-related deadlines, budgets, and federal / institutional policies and requirements.

Highly organized and comfortable with working on multiple grants and accounts. Clear, consistent, and thorough communication verbally and written (email and study documentation).

Work Schedule :

Hybrid onsite / remote : Willingness / ability to come on-site as needed for non-remote work activities such as PI / team meetings, training.

This can be a few days per week.
