Summary
The Associate Director, Event Services offers leadership and guidance for the Event Services team and its affiliated departments.
In this capacity, the role supervises all event operational matters to uphold the highest operational standards, optimize efficiency, and effectively coordinate KSU affiliated events.
Responsibilities
KEY RESPONSIBILITIES :
1. Oversees, manages, and organizes all facets of event operations, encompassing event coordination and services, staffing, security, crowd and risk management, as well as coordination with police, fire, safety personnel, event production, AV, broadcast and conversion.
2. Orchestrates large-scale events characterized by complexity and high volume, such as KSU Athletic events, concerts, campus activities, and external events.
3. Generates and evaluates event diagrams, spreadsheets, timelines, quotes, and crowd management plans to ensure the seamless and efficient execution of events.
4. Ensures the effective execution of event coordination activities by formulating operating procedures aligned with industry standards, tailored to the facility's specific requirements, and in
harmony with the goals of our clients. Implement operational policies and procedures within the event services and coordination departments, overseeing and ensuring compliance.
5. Assesses event operations, establishing systems to gauge client satisfaction. Adapts services based on client feedback and collaborate with department leadership to enhance procedures, ensuring the continual improvement of the quality and effectiveness of event operations.
6. Offers leadership, mentorship, inspiration, and guidance to student employees while supervising the activities of the Event Logistics team.
Plans, organizes, and delegates day-to-day responsibilities for student employees to assist and support event service needs.
7. Facilitates seamless communication and collaboration among event services, operations, event coordination, and production teams to ensure the successful execution of high-quality events.
8. Organizes department and staff meetings. Develops and maintains a harmonious working relationship with all other departments.
9. Assists in the management of venue calendars, balancing the needs and timelines of venue tenants, partners, existing clients, and new clients.
10. Contributes to the entertainment booking process through research, scheduling, contract preparation, budget management, and relationship building.
11. Serves as Manager on Duty for events on a rotational basis.
Required Qualifications
Educational Requirements :
Bachelor's degree from an accredited institution of higher education in related field
Other Required Qualifications :
Current, valid and unrestricted drivers license
Required Experience :
Seven (7) years of experience in event planning / coordination, business, hospitality, sports, and / or live entertainment
Preferred Qualifications
Additional Preferred Qualifications
Membership and / or participation in the International Association of Venue Managers or related organizations
Preferred Experience
Experience with Event Management and / or Venue Reservation Software (EMS, 25LIVE, etc.)
Proficiency in AutoCAD or similar event diagraming software
Experience and working knowledge of NCAA Division 1 Athletics, Concerts, or other specialty events
Preferred Educational Requirements
Advanced degree from an accredit institution of higher education in Business, Event or Sports Management, Hospitality, or closely related field
Industry related certification such as Certified Venue Professional (CVP) or Certified Meeting Planner (CMP)
Graduation from or participation in event or venue related schools or programs, such as Venue Management School (VMS) or the Academy of Venue Safety and Security (AVSS)
Proposed Salary
The budgeted salary range is $66,760 to $70,000. Offers are based on relevant experience.
