POSITION OVERVIEW
Under the direction of the Associate Director, the Project Coordinator (PC) provides administrative and operational support.
The Project Coordinator is responsible for overall administrative and operational support for the department's / program's Executive Directors, Associate Directors, Scientific Directors, Project Managers, and other Project Coordinators to facilitate and support the Critical Path Institute's multiple global, virtual working groups that work together in their efforts to advance drug development tools and accelerate therapy development.
In addition, the PC is responsible for direct support for the Vice President of the Program and Executive Directors for each consortium within the Program.
The PC work will focus on the support, organization, coordination, and communication of all activities involving members of the Program.
The role requires precise and clear communication skills to ensure smooth management of activities.

CORE DUTIES / RESPONSIBILITIES
- Maintain appointment calendars and schedule all virtual and in-person recurring and ad-hoc meetings as requested.
- Set up Zoom or Teams meetings for all recurring and ad-hoc meetings as requested.
- Plan, coordinate, and track work on various action items as requested.
- Ensure project documents (e.g., agendas, minutes) are complete, current, and stored appropriately.
- When applicable, assist with the preparation, maintenance, and sharing of internal and external communications.
- Keep member rosters and vendor / client contact information up to date on multiple platforms (e.g., contact lists, email distribution lists, and calendar invites).
- Assist with financial tracking for all projects, including tracking expenses and submitting expense reports.
- Arrange for any necessary travel for the internal team and select stakeholders, when required.
- Coordinate all aspects of offsite meetings including working with the venue and C-Path team on room, food, and audio / visual needs are met to support the goals of the event.
- Identify opportunities for improvement and make constructive suggestions for change.
- Work together with other members of the team in an efficient manner while following consortium, program, and organization best practices, policies, and procedures to achieve consortium, program, and organization goals.
- Track and document best practices and lessons learned and share those with the team.
- As requested, assist with company-wide administrative needs, covering the front desk, helping prepare or clean up from on-site events, etc.
- Other duties and responsibilities may be assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
- Works well independently and in a team-oriented, collaborative environment.
- Good oral and written communication skills.
- Professional business writing skills to include composing reports, correspondence, and other documents.
- Ability to interact professionally and courteously with multiple stakeholders including clients, vendors, subcontractors, and superintendents.
- Ability to effectively present information to management and general staff.
- Good problem-solving and organizational skills.
- Self-motivated with the ability to work in a fast-paced environment; anticipate issues or challenges without being specifically directed.
- Detail-oriented and keen editorial eye.
- Proficient use of Windows software including Microsoft Office 365 Suite (i.e., Word, Excel, PowerPoint, Outlook), Adobe Acrobat Pro.
- Proficient use of online tools (e.g., Doodle Poll, Monday, Cvent, SutiExpense, AmTrav, Zoom) and cloud-based file storage systems (i.
e., SharePoint) preferred.
- Ability to use standard office equipment, PC, copier, fax, printer, scanner, etc.
- E xercises good judgment in selecting methods and techniques for obtaining solutions.
- Collaborative and an active listener, respects other's ideas, and responds thoughtfully to questions.
- Ability to interact respectfully and mindfully with stakeholders from different backgrounds and perspectives.
REQUIRED EDUCATION AND EXPERIENCE
- High School Diploma or Equivalent, Associate / bachelor's degree preferred
- A minimum of two years of administrative experience preferred, or an equivalent combination of education and experience.
- Experience in administrative roles, preferred.
- Experience in healthcare-related organizations, preferred
