This position will provide high-level professional, lab, and administrative support to several clinical faculty and fellows in the Department of Ophthalmology and Visual Sciences.
This position requires excellent multitasking and problem-solving skills, as well as excellent teamwork. A first page cover letter is required for this application.
Ocular Pathology (50%)
- Printing history sheets, assembling slides in the correct order, ordering special stains, faxing results to outside institutions, and tracking slides in the lab for various projects.
- Request slides / blocks from outside institutions as needed for diagnosis, and fax final reports to outside institutions.
- Make sure all cases have a history in SoftPath : coordinate with Histopathology regarding case numbers.
- Fax case paperwork to Path-Consult group and update the number of cases that arrive on a daily basis.
Administrative duties (50%)
- Type patient letters, OR notes (w / in 24 hrs), recommendation letters, and other items as needed.
- Coordinate complex travel arrangements, and process international travel and hosting reports.
- Coordinating Plastics Fellowship interviews (every other year).
- Maintain calendars for multiple faculty, including Qgenda departmental calendar.
- Facilitate patient communications and patient care, working with the clinical clerical team.
- Organize meetings, prepare PowerPoint presentations, edit images for presentations / publication as well as prepare and organize material, agendas, and minutes for various meetings as needed.
Monthly Service meetings; conference presentations, etc)
- Work closely with multiple department teams involving finance, clinical care, research, etc.
- Maintain CVs in multiple formats.
- Reconcile several PCard statements as well as travel reimbursement utilizing Concur. (Reconcile assigned PCard, Faculty PCards, Concur reports for faculty).
Understanding publishing protocols and edit manuscript references.
- Collect, sort and distribute mail.
- Answering phone calls and transferring them to the appropriate person / clinic.
- Provide all reasonable administrative support for the faculty and fellows.
- Traditional administrative assistance (including copying, faxing, scanning, printing, answering phones, etc.).
- Provide backup support to other administrative assistants and faculty as needed.
- Respond to inquiries of highly sensitive and confidential material.
- Coordinate and host events; here and worldwide.
- Coordinate faculty travels for meetings and events.
- Work with faculty, GME, and ECFMG to arrange International Fellowships.
- Helping out with conferences / meetings at KEC.
- Lab supply and office ordering.
- Pay dues for faculty, using a PCard.
- Deal with minor IT issues that come up with faculty.
- Increase in number and complexity of duties.
- Other duties as assigned by faculty and supervisor.
Senior Level
High School Diploma or equivalent and 4 years of experience
Intermediate Level
- High School Diploma or equivalent and 2 to 4 years of experience
- Excellent computer skills.
- Outstanding organizational, written and verbal skills with a strong customer focus.
- Must be detail oriented with the ability to prioritize and manage multiple tasks with competing deadlines as well as work effectively with frequent interruptions.
- A high degree of creativity, initiative and resourcefulness in required.

- Flexibility to occasionally work outside the normal business hours.
- Concur, Procurement and MiChart knowledge preferred.
- Lab support experience preferred.
This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
