I) Job Purpose

The Forensic Scheduling Specialist, under the general supervision of the Office Manager, provides clerical assistance and technical support to program staff.

This role involves managing and organizing workflows related to the Jail Triage List, patient records requests, Prescriber Logs, and EPIC Referral and Routine Baskets.

The specialist ensures all follow-ups are scheduled as ordered by the Prescriber and handles customer service activities to facilitate and promote positive treatment outcomes.

II) Essential Functions

A) Enter information into electronic storage, processing, and retrieval systems accurately and promptly, including electronic records, reports, documents, and clinical records.

B) Complete admissions and ensure patient diagnosis, Forensic Doctor Status, follow-up appointments, and prescriptions are current.

C) Maintain accurate program admissions and jail episode records to ensure RFC patients are removed from MyAvatar prescriber schedules.

D) Enter magistrate findings into the MHMR Alert system and notify relevant staff of any outstanding data.

E) Research electronic referrals (MHMR Referral Screening Pool and MHMR Routine Priority Pool) daily, distribute according to jail housing and assigned clinical staff.

F) Conduct electronic patient data searches on TDC lists, make copies of relevant documents, and communicate findings to TDC staff.

G) Complete EPIC documentation daily based on triage list findings.

H) Schedule 60% of new evaluations from the triage list on prescriber daily logs after confirming jail screenings.

I) Clear RFC patients from the triage list weekly, compare jail census to the triage list, and schedule SPCs, MH Docket, JBCR, State Hospital Returnees, and EMHS patients.

J) Maintain open communication with prescribers for rescheduling patients according to prescriber order and availability.

K) Distribute daily logs to prescribers after adjustments and confirmations.

L) Ensure requests for patient records are processed.

M) Scan signed Releases of Information into MyAvatar weekly and follow up on outstanding requests.

N) Notify prescribers and clinical staff when records are received and scan all miscellaneous paperwork into MyAvatar.

O) Maintain a professional image and promote good customer relations, answer phone calls promptly and courteously, and respond to patient questions and complaints professionally.

P) Prepare RX paperwork promptly, hand-carry requests to prescribers, and ensure electronic data is in MyAvatar for billing.

Q) Fax orders to the pharmacy and confirm receipt.

R) Prepare and mail correspondence, respond to medical records requests, and inventory clinic office supplies as needed.

S) Complete special projects as directed by the Office Manager with minimal supervision and within expected time frames.

III) Knowledge of Laws, Regulations, Policies / Procedures, Skills, and Abilities

A) Understanding of electronic health record (EHR) systems and other database management software used in clinical settings.

B) Familiarity with medical and forensic terms, particularly those related to mental health and substance use treatment.

C) Knowledge of HIPAA regulations, Medicaid billing standards, confidentiality requirements, and other relevant laws and policies affecting patient records and data management.

D) Basic understanding of clinical workflows, patient intake processes, and the scheduling of medical and psychiatric appointments.

E) Ability to proficiently operate computers, software, and systems utilized in the role, such as Microsoft Office (Outlook, Word, Excel, PowerPoint), MyAvatar, Kronos, and EPIC systems.

F) Strong ability to manage and prioritize multiple tasks and maintain organized records and logs.

G) Excellent verbal and written communication skills for interacting with staff, prescribers, and patients.

H) Ability to handle patient inquiries and complaints professionally and courteously.

I) High level of accuracy in managing records, scheduling, and documenting patient information.

J) Ability to work under time constraints, meet deadlines, and manage time efficiently.

K) Use logic and reasoning to identify solutions to scheduling and data management issues.

L) Ability to establish and maintain effective working relationships with supervisors, co-workers, and other agency personnel.

M) Flexibility to adapt to changing workflows and procedures, and to manage variable / flexible hours as needed.

IV) Internal & External Customer Service

A) This position requires extensive internal and external contacts. The employee will accomplish this with advanced written and verbal skills.

V) Travel

A) Adhere to MHMR Mileage and Travel reimbursement policy and any other aspect regarding travel.

B) This position requires local travel of up to 1-5 times per week in personal vehicle.

VIII) Agency Requirements

A) All staff are required to participate in agency Emergency Preparedness and Environmental Safety programs and may be assigned by their department as a key / essential staff level function during critical events or for the purpose of sustaining business continuity.

B) This position may require temporary or permanent re-assignment to any MHMR Tarrant facility as determined by program needs and / or the Division / Director.

C) Assigned work hours may change as the needs of the agency change.

D) The Functional Title of this position may change as the needs of the agency change.

E) All work will be completed within the scheduled work hours. All non-exempt (hourly) employees are expected to clock in and clock out for each work shift, no work should be done off the clock.

F) MHMR reserves the right to change, add to or eliminate positions as it deems appropriate.

G) Employment is at will, as well as agency needs may change.

H) Agency dress code is to be followed at all times.

I) Physical on-site presence, including regular attendance and punctuality, is an essential function of this position. Any changes or adjustments to your assigned work schedule or shift hours must be approved by your supervisor in advance.
