JOB SUMMARY
The Parts and Warranty Manager has all responsibilities related to parts purchasing, inventories, component set up, coding and tracking in TMT, warranty recovery both OEM and aftermarket parts and labor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for inventory levels with Min-Max thresholds set for all shops.
- Responsible for quarterly inventory cycle counts and adjustments.
- Responsible for managing and reporting a full year-end inventory count for the company.
- Responsible for setting up all new part item details in TMT.
- Manage trends in usage, cost, and failures.
- Manage tire inventory usage, and core bank program.
- Manage shop supplies usage and cost.
- Manage all new and defective part returns assuring proper credits are issued.
- Manage obsolete parts for return, refund, and TMT adjustments.
- Manage and improve parts turnover rate.
- Manage and improve parts filled from stock rate.
- Manage and improve part delays and backorders.
- Set up and monitor preferred vendor usage.
- Set up automatic parts reorders at least once a week for all shops.
- Set up the VMRS coding on all parts and labor items in TMT.
- Update new parts required for new incoming equipment.
- Create and maintain the process for tracking supply items versus billable parts.
- Update and maintain accuracy with all parts pricing.
- Establish and maintain productive relationships with the manufacturer's warranty representatives and the representatives of the after-market warranty companies that we conduct business with.
- Review every warranty repair order written for proper completion, accuracy, and legibility according to the applicable policies and procedures.
- Monthly repair orders scanned for potential warranty based on VMRS codes.
- Return improperly completed repair orders to the person originating the document for correction as necessary, and track through completion.
- Check each repair order against the vehicles service history to avoid making duplicate claims.
- Monitor the use of special warranty programs for diagnosis time, straight time repairs, etc.
- Submit warranty claims to the manufacturer using each vendor's process, web sites and tools to complete the claims accurately.
- Maintain a record and file of all claims submitted, returned, rejected, paid and their status.
- Establish and maintain control of the physical parts to be returned, inspected, or scrapped by the manufacturer or other warranty authority.
- Provide a weekly, monthly, and annual report to the management team regarding claims status and monetary amounts recouped.
- Report to management any condition or situation that jeopardizes the safety of our assets.
- Manage all manufacturer issued campaigns to include opening all campaign work orders in TMT, procuring the parts, sending the SOPs, tracking all work orders are closed within the designated time frame and reporting 100% completion of each campaign.
- Establish monthly and annual warranty recover targets based on age of equipment profile throughout all divisions.
- 5-day In Office requirement unless traveling for business
- Up to 25% travel required.

Parts and Warranty Manager Requirements
MINIMUM REQUIREMENTS
- Bachelor's degree or 5+ years' experience in parts and warranty management in trucking industry.
- In depth product k nowledge of fleet equipment, repair, and maintenance in trucking industry.
- TMT maintenance software experience.
- Strong negotiation skills
- OEM warranty systems and claim processing experience.
- After-market parts warranty claim processing experience
- Proficient with Microsoft Office suite.
- Excellent verbal and written communication skills
- 5-day In Office requirement unless traveling for business
- Up to 25% travel required.
