The American Association of Veterinary State Boards (AAVSB) is a not-for-profit membership organization comprised of 63 Member Boards dedicated to strengthening the veterinary regulatory community.

We are committed to supporting and advancing the regulation of veterinary medicine and providing comprehensive information and services to enhance the efficiency of veterinary regulation.

The AAVSB is seeking a Volunteer Specialist who has prior volunteer coordination experience and will be responsible for supporting the volunteer efforts and the volunteers of the AAVSB.

Working with the volunteer committee and the management of the AAVSB, this role is crucial in fostering a positive, professional, and engaging volunteer experience with the AAVSB and impacts all the stages of being an AAVSB volunteer.

The AAVSB has approximately 100 volunteers annually that contribute about 4,500 hours to the Association.

Responsibilities

Job Responsibilities

Day-to-day activities include :

  • Maintain the volunteer database by conducting manual updates of continually received submissions from interest forms and staff members.
  • Track volunteer needs of committees.
  • Track volunteers using online software.
  • Manage committee meetings using online software.
  • Verify entered data using discrepancy reports. Investigate and correct records as necessary.
  • Maintain volunteer operations by following policies and procedures.
  • Maintain desk manual for the volunteer coordination providing draft revisions quarterly.
  • Promptly notify volunteer applicants when selected or not selected for service.
  • Receive and promptly answer incoming emails and telephone calls from and regarding the volunteers.
  • Maintain a high standard of excellence in customer service to volunteers, staff members, the Member Boards, and other stakeholders.
  • Provide assistance in coordinating in-person committee meeting details.
  • Maintain volunteer supplies and drive to storage facility for volunteer supplies.
  • As a member of the Administrative Team, perform other duties as required based on the needs of the AAVSB and other AAVSB staff and management.

WITHIN 1 MONTH, YOU WILL :

  • Establish positive working relationships with AAVSB Committee Staff members.
  • Be able to accurately process volunteer submissions and initial communications with assistance.
  • Engage the volunteer tracking software.
  • Engage in the committee meeting management software.
  • Understand in-office and administrative team procedures.
  • Observe volunteer process.

WITHIN 3 MONTHS, YOU WILL :

  • Be able to distinguish the different Committees of the AAVSB.
  • Have a better understanding of the volunteer tracking software.
  • Have a better understanding of the committee meeting management software.
  • Be able to respond to common customer service questions from volunteers with assistance.
  • Be able to distinguish the different stages of the AAVSB volunteer.
  • Be integrated as a member of the administrative team.

WITHIN 6 MONTHS, YOU WILL :

  • Be able to accurately process and review volunteer requests, submissions and communications without assistance.
  • Understand the roles of the different Committees of the AAVSB.
  • Be able to respond confidently to volunteer questions via phone and email.
  • Efficiently process and review volunteer submissions.
  • Participate in development, testing, and implementation of new procedures for the volunteer process.
  • Be proficient in the volunteer tracking software.
  • Be proficient in the committee meeting management software.
  • Assist with specific in-person committee meeting details.
  • Assist as a committee staff helper for the volunteer committee.
  • Assist the administrative team when possible.

WITHIN 12 MONTHS, YOU WILL :

  • Know the volunteers of the AAVSB by name by serving as primary point of contact for them.
  • Understand the responsibilities of the different Committees of the AAVSB.
  • Be able to show statistics about volunteers.
  • Be able to train other committee staff members on the volunteer tracking software and the committee meeting management software.
  • Provide impactful insight into volunteer needs.
  • Be able to prioritize workflow needs without assistance.
  • Be a valuable asset to the administrative team with accurate and efficient work habits.
  • Be a positive personality that demonstrates teamwork and collaboration.
  • Understand AAVSB’s role in veterinary medicine and the AAVSB’s services.
  • Be an integral member of the administrative team.

  • Provide excellent customer service, strong written and oral communications skills.
  • Maintain confidential information and do so with professionalism and discretion.
  • Establish and maintain effective and appropriate working relationships with fellow AAVSB staff, volunteers, Member Board contacts, and all other stakeholders.

Experience & Education

Required : Associate’s degree in business management and minimum of two years of demonstrable experience in volunteer coordination.

Some of the years of experience may be substituted by relevant education or certifications.

Preferred : Bachelor’s degree in business management or a minimum of four years of demonstratable experience in volunteer coordination. In-office experience.

Details

This is a full-time and non-exempt position. Work is performed under the direction of the Chief Business Officer. Must pass a background check.

Must have a valid driver’s license.

Salary Range : $46,000 - $50,000

Include an introduction letter.

The AAVSB has one office which is located in Overland Park, Kansas. This position works in the AAVSB office. Some travel outside of the Kansas City Metro is required.
