Job Overview

The Financial Aid Program Administrator - - is a member of the merit-aid team processing the paperwork and electronic submissions of merit-based financial aid for Main Campus graduate students.

Responsibilities include significant financial aid budget review, data entry and process navigation across multiple systems, paperwork processing, and the enforcement and updating of financial aid policies and procedures.

They have a key position in the overall management of graduate and PhD student scholarships and awards; and as a member of the merit aid team, they exercise professional judgment and apply critical thinking on behalf of the Graduate School merit aid team.

They consult the Academic Affairs office and programs to ensure all merit aid offers comply with GSAS policies, including registration requirements, satisfactory course completion and satisfactory progress toward degree;

and review all to ensure merit aid processing complies with university and federal guidelines. As well, they work with Admissions and programs to ensure all merit offers extended to applicants comply with GSAS policies.

  • They support the AD of Operational Management for all matters related to GAGE compliance with the Collective Bargaining Agreement (CBA);
  • serve as backstop in reviewing proposed positions descriptions and liaises academic departments, Academic Affairs, and student employment office to ensure compliance with the CBA;

and may review and approve proposed GAGE student hires before processing by the Student Employment Office.

They directly manage a large-scale volume of students receiving aid; serve as a point of contact or backup - in the absence of the Senior Director for Finance or team members - regarding merit aid tasks and concerns;

and serve as the main point of contact and subject-matter-expert to programs in the College, SFS, McCourt and BGE.

As well, they support the AD of Systems Management during high-volume periods - specifically during the beginning of each term;

and may be asked to upload integrations into Banner on behalf of the Assistant Director.

Duties include but are not limited to :

  • Other duties as assigned

Work Interactions and Work Mode Designation

Reporting directly to the Senior Director of Finance, the Financial Aid Program Administrator works closely with the Graduate Program Director in Student Financial Services, and often with many other university offices, including the Registrar’s Office, Student Accounts, Student Financial Services, the Tax Department, Financial Affairs, graduate academic program offices on the Main Campus (e.

g. Economics, Chemistry, etc.), Student Employment, Office of International Programs, the Provost’s Office, and others. The frequency of their interactions ranges from several times per month to several times per day.

Requirements and Qualifications

  • Bachelor's degree - of a Master’s degree
  • 1 to 2 years of relevant experience
  • Proficient in Microsoft Office, Google Apps, Adobe Pro and other general office collaboration tools
  • Advanced reporting, review and analysis skills to detect and troubleshoot errors
  • Experience in student information systems Banner,
  • Experience working with modern finance and human resource products - Workday,
  • Comfortable with basic web-editing tools
  • Ability to learn and adapt to new technology and changes in procedures quickly
  • Extremely well-developed attention to detail is absolutely necessary
  • Familiarity with hiring forms - I-9, tax, etc.
  • Excellent communication skills with a broad variety of audiences
  • Ability to organize tasks to meet many deadlines
  • Ability to prioritize tasks and requests to maximize efficiency and minimize errors
