As a Receptionist, you will be the first point of contact for Unity Eye Centers. Our Receptionist’s duties include offering administrative support across the organization.

You will welcome patients who visit our office. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner while streamlining office operations.

The hours for this position are Monday 8 : 30-5 : 30, Tuesday 10 a.m.-7 p.m., Wednesday through Friday 8 : 30-5 : 30. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Responsibilities

  • Greet and welcome patients as soon as they arrive at the office
  • Direct patients to the appropriate department
  • Answer, screen, and forward incoming phone calls
  • Scheduling appointments and maintaining a full appointment schedule
  • Keeping the Optometrist(s) on schedule and maintaining efficient patient flow
  • Appointment confirmation and recall reminders
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Contact insurance companies regarding a patient’s eligibility for each visit
  • Provide basic and accurate information in person and via phone / email
  • Receive, sort, and distribute daily mail / deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing

Skills

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office and other EHR software
  • Hands-on experience with office equipment (e.g. fax machines, multi-phone line systems, and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus

Competencies : Frequent Interaction with Others : Must demonstrate the ability to manage multiple interruptions on a continual basis, always maintaining friendly interactions with team members, patients, and guests of the practice.

Customer Orientation : The Front Desk Coordinator should be patient-focused and display a desire to work within the practice’s brand values to deliver exceptional customer service.

Team Player : Exhibits the ability to work well within the team environment, supporting all members of the team in delivering on the patient experience.

Brand Championship : As the first point of contact, the Front Desk Receptionist must consistently display behaviors that complement the practice.

Detail Orientation : Must have the ability to maintain a high level of detail orientation despite frequent interruptions.

Accuracy and diligence with regard to patient records, scheduling, and file maintenance is required.

Pace of the Environment : Must be able to work at a fast pace. Effectively handling multiple tasks at one time, focusing on patient flow and experience.
