Responsibilities
- Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Organize and maintain filing systems, both electronic and physical, ensuring data is easily accessible.
- Assist in the preparation of regularly scheduled reports and presentations.
- Perform data entry and maintain databases using CRM software.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Support the HR department with onboarding new hires and maintaining employee records.
- Order office supplies and research new deals and suppliers.
- Liaise with external partners, vendors, and clients as needed.
- Provide general support to visitors and act as the point of contact for internal and external clients.
Requirements :
- Proven experience as an Administrative Assistant or in a similar role for at least 3 years.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with calendar management tools and CRM software.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Familiarity with office equipment, such as printers, copiers, and fax machines.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
