Responsibilities

  • Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Organize and maintain filing systems, both electronic and physical, ensuring data is easily accessible.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Perform data entry and maintain databases using CRM software.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Support the HR department with onboarding new hires and maintaining employee records.
  • Order office supplies and research new deals and suppliers.
  • Liaise with external partners, vendors, and clients as needed.
  • Provide general support to visitors and act as the point of contact for internal and external clients.

Requirements :

  • Proven experience as an Administrative Assistant or in a similar role for at least 3 years.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with calendar management tools and CRM software.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Familiarity with office equipment, such as printers, copiers, and fax machines.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
