The Team Coordinator (TC) documents assists in the administration of each job in job management system; assists in the collection efforts and management of the accounts receivable process;
assists in and helps resolves customer service issues timely and efficiently, assists Accounting, Project Managers and General Manager in administration of job production as needed.
The TC is managed and supervised by the GM / or the CEO. Specific duties include the following :
- Assist in ensuring job costs are accurate and recorded in a timely manner.
- Assists in the daily scheduling of jobs.
- Assists in the administer of production team timesheets and ensuring accurate job log in / out.
- Assists and / or creates and updates jobs in the job management software system (PSA).
- Assist to ensure that key dates and work orders are updated in job management daily.
- Assist in the collection of invoices over 30 days past due.
- Answer the phone line during normal business hours.
- Assist project managers in submitting estimates and updating TPAs in a timely manner.
- Assisting project managers in estimating jobs.
- Other duties as assigned.
