We are seeking an Administrative Assistant & Receptionist to join our Beaumont Administrative Program. As a Administrative Assistant & Receptionist , you will Shine Hope as you are responsible for providing a positive image of Buckner through the answering of the telephones and the greeting of visitors, applicants, clients, and other persons that come into the office.
You will also process facility deposits and donations. You will serve as an administrative assistant in support of the location and management team and provide administrative support to the Executive Director and other staff as assigned.

What you'll do :
- Greets all visitors to the Administrative Offices, determines their business, provides direction, and / or notifies the appropriate staff.
- Answers general questions about program services as appropriate. Answers incoming calls, take, and relays messages.
- Receives, distributes and appropriately acknowledges non-cash donations from donors, keeping a permanent record on file of the gift(s).
Receive and acknowledge donations from donors; maintain timely and accurate donor gift records.
- Serve as back up and support for Administrative Assistant on Accounts Payable when needed including purchase orders, processes invoices, perform accounts receivable and accounts payable functions.
- Prepare accurate record of cash receipts and deposits, processes all incoming checks and makes deposits at the bank for payments and donations, and reports said deposits as instructed by Buckner Financial Services policies and procedures.
- Performs miscellaneous financial duties such as maintaining Petty Cash Supply, balancing regional checking account for replenishment of funds, preparing and distributing client allowance / activity money, expense reports monthly, campus credit card reconciliation, etc..
- Serves on a Committee, compiling and forwarding necessary reports as required to Dallas.
- Assist with management of TELS Facilities Software for Maintenance requests and work with Maintenance Technician to organize Work Orders and requests.
- Manage all vendor set ups, relations, and account maintenance.
- Provide clerical and administrative support to the Executive Director and other assigned staff and management and assist with projects as assigned.
What you’ll bring :
- High school diploma or equivalent required.
- Experience in accounting / bookkeeping procedures and data entry preferred.
- Requires minimum of three years experience in a similar position.
- Requires ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable;
must provide proof of liability insurance and must be eligible to be insured under Buckner’s insurance policy. Must be age 21 or older to drive on behalf of Buckner.
- Requires ability to use up to 50 pounds of force occasionally, and / or up to 20 pounds of force frequently, and / or up to 10 pounds of force continuously to move objects and / or people.
- Requires ability to walk, stand and sit, sometimes for prolonged periods of time.
