Job Overview
Under the direction of the Controller, compiles and maintains accounts payable records and receptionist duties.
Responsibilities & Duties
- Process purchase orders to match invoices.
- Checks and approves all invoices for payment.
- Also prepares invoice deduction notices, as necessary.
- Analyzes vendor accounts and answer all vendor inquiries.
- Post invoices and prepares payable checks.
- Prints all accounts payable reports and maintains all accounts payable files.
- Prepares analysis of accounts, as required.
- Assists in monthly closings.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages when appropriate personnel are unavailable.
- Answers questions about organization and provides callers with address, directions, and other information.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Monitors visitor access and issues passes when required.
- Receives, sorts, and routes mail, and maintains and routes publications.
- Performs all applicable duties in accordance with ISO procedures, if required.
Perform other skilled or non-skilled duties as directed by supervisor.
Required Qualifications
High school diploma or general education degree (GED); or one to three years related experience and / or training; or equivalent combination of education and experience.
High School or equivalent degree
- Must pass all required pre-employment screenings Background, MVR, Physical & Drug screen.
- Be able to comply with all drug and alcohol policies of Houma Armature Works and / or customer sponsored programs. Subject to random Drug and Alcohol screenings.
- Be available for and successfully complete all required training.
- Possess valid identification.
- Detail oriented and organized.
- Ability to handle sensitive, confidential information.
- Candidate shall have proficient knowledge of Microsoft Excel and Word.
- Knowledge of QuickBooks is a plus.
- Ability to interface with co-workers and / or customers.
- Ability to prioritize, organize and meet deadlines.
- Team player attitude with the ability to work with minimal supervision.
