General Statement of Job :
The Director of Student Records is responsible for the personnel and management of the systems that maintain all student records.
The Director provides leadership and supervises records including, but not limited to, enrollment, degree audit, end of term processing, graduation, designated signing official for international students, student residency, integrity and security of academic records.
Specific Duties and Responsibilities :
- Provides management, security, integrity and maintenance of student academic records and records systems as it relates to student data and business processes.
- Supervises the review of and certification of graduation and production of transcripts.
- Develops, interprets and delivers effectively structured academic support services such as, registration, processing of grades, maintenance of student and course records, verification of student enrollment.
- Interprets and applies the laws and regulations of the Texas Higher Education Code, the Texas Higher Education Coordinating Board, College policies and regulations, and other state and federal laws relating to admissions, residency, and immigration laws.
- Provides technical and administrative leadership in the registration and graduation processes.
- Provides support to the functional head of the student record information system;
- Assesses maintenance of student, course and program databases that are used by academic and administrative departments.
- Protects the confidentiality of student academic records by enforcing the provisions of the Family Educational Rights and Privacy Act.
- Works closely with Division Deans, Program Chairs, Advising and other offices on data analysis and student progress in specific programs.
- Selects, trains, supervises and evaluates the processing staff in the Department.
- Serves as a member for the development and logistical settings for the institution's commencement exercises.
- Collaborates with Technological Resources to develop innovative and data-driving systems that maintain and track student progress.
- Works collaboratively with Research and Analytical Services on student tracking, trend analysis and forecasts on degree completion goals.
- Knowledgeable in the development and maintenance of programs used to enhance the skills of the organization for the Student Information System.
- Promotes collaboration, integrity, respect and a positive work environment in accordance with college policy and philosophy.
- Performs other duties as assigned by the Dean of Enrollment Systems and Registrar.
Required Education and Experience :
- A Bachelor's degree is required. A master's degree is preferred, in student services, education, business, or a closely related area.
- At least five (5) years of closely related experience in a community college or university.
- Working knowledge of Banner or a similar enterprise software system preferred.

- All applicants are subject to a criminal background check under South Texas College policy.
- Security Sensitive position : In addition, subject to federal background check.
- Must have valid Texas driver's license and proof of liability insurance.
