Job Description
The Purchasing & Receiving Associate is responsible for daily receiving and distribution of supplies, miscellaneous goods, food and beverage supplies throughout The Biltmore Estate.
Additional responsibilities include direct sourcing of said items from internal and external vendors. The P&RA will also be responsible for processing all pertinent documents including, but not limited to, invoices, product transfers, supplier bids, vehicle maintenance, COGS inventory and weekly market reports.
ESSENTIAL JOB DUTIES :
1. Research food product and analyze cost
2. Order food, supplies, equipment, and uniforms
3. Conduct quarterly inventory of restaurant china, glass and silver
4. Code invoices and enter into Eatec database
5. Track deliveries and maintain files for transfers from the Biltmore Agriculture department
6. Process transfer sheets from outlets into Eatec database
7. Maintain invoice files
8. Match invoices to purchase orders at the time of delivery
9. Insure the correct goods are received and inspect each item for quality and proper
and proper weight / size / count
10. Retrieve and deliver product on and off property
11. Key food inventory reports on Eatec
12. Set up and organize work station; report shortages; receive and process deliverables
13. Provide Support on Eatec maintenance
ADDITIONAL RESPONSIBILITIES :
1. Maintain state inspection and registration for vehicles
2. Maintain regular interval service and cleaning for vehicles
3. Provide general support and assistance to the department, leadership, and company as required.
4. Assist with the pick up and deliver of the weekly liquor orders from ABC as needed.
QUALIFICATIONS :
1.High school diploma or GED required. Additional education, training, and / or certification(s) preferred.
2. At least two (2) years of related experience in food and beverage purchasing, inventory control, and / or cost control required.
The ideal candidate will have three (3) years of experience working in food and beverage purchasing in hospitality.
3. Strong analytical and math skills, and a solid knowledge of purchasing and inventory / cost control practices, philosophies, and methodologies.
4. Proven commitment to delivering world class (internal and external) guest service.
5. Advanced proficiency in Microsoft Excel and Word; must also be able to quickly learn and master Biltmore’s inventory and accounting systems and reporting protocols.
6. Outstanding organizational, planning, and project / time management skills with a keen attention to detail and focus on quality.
7. Excellent interpersonal and communication skills; must be able to communicate clearly, concisely, and effectively with a range of audiences, and convey technical information in a manner that is easily understood.
8. Solid negotiation skills and the ability to maintain positive, professional relationships with vendors and staff.
PHYSICAL REQUIREMENTS :
1. Requires moderate physical activity, handling of average-weight objects, up to 50
pounds, and standing and / or walking for up to ten (10) hours per day.
2. Work environment involves some exposure to hazards or physical risks, which
require following basic safety precautions.
3. Must be able to climb stairs and ladders as needed to access historic estate locations / venues.
4. Must have a valid driver’s license, have a clean driving record for the last three (3) years, and be at least 19 years of age.
