Job Description

Western Nevada College is recruiting for an Event Coordinator, Administrative Assistant 4, for the Vice President's Office which will be responsible for navigating the process of Event requests, facility use, and Campus Tours for both the internal campus and external community.

Duties and Responsibilities

The Event Coordinator will be the main point of contact for inquiries to use the Campuses of Western Nevada College. This position will continue to define procedures and logistics around campus events, room use, and tours while collaborating with the various departments required for each request.

This position will be the first point of contact for the Vice President's Suite and will also provide administrative support to the Vice President's office.

Scheduling logistics and procedures - Including : Collaborating with the community to plan event details, creating event proposals, understanding the internal billing and contract process, identifying Audio-Visual requirements, Facilities support, Custodial Services, Police Services, and additional supports for each event.

Campus Tours - Including : Creating a procedure for identifying key areas of the Western Nevada College each tour is interested in viewing, collaborating with the departments to ensure the appropriate individuals are available to showcase their areas, and navigating time management and expectations.

Administrative Support - Including : Front desk support for the Vice President Suite and the Academic Planning Administrator, connecting inquiries with the correct department on campus, maintaining multiple calendars, collaborating with faculty and staff on available rooms locations, and utilizing the various campus computer programs and processes.

ALL MINIMUM QUALIFICATIONS HAVE BEEN WAIVED FOR THIS POSITION UNTIL DECEMBER 31, 2024. Please refer to the link for more information : Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.

Required Qualifications

  • This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas : providing administrative / program support to professional staff and management;
  • performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele;

supervision of subordinate staff; researching information from internal and external sources; OR

  • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR
  • An equivalent combination of education and experience as described above

Preferred Qualifications

  • Bachelor's degree in Event Management, Hospitality, Marketing or other related field are encouraged to apply.
  • Applicants with experience with PeopleSoft or OnBase are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8 : 00 am to 5 : 00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 29

The classified employee pay scale is divided into 10 steps within each grade. Most employees start at a step 1 and are eligible for an annual step increase with satisfactory performance, until they reach the maximum, step 10.

Classified employees are eligible for any legislatively approved cost of living increases (COLA).

Retirement - Public Employees' Retirement System of Nevada (PERS)

Employees are required to participate in The Public Employees' Retirement System of Nevada (PERS) upon hire, a defined benefit plan.

Employees contribute under either a post-tax plan, with the employee and college each contributing 17.5% of the employee's salary (35% combined contribution);

or under a pre-tax plan with the college contributing 33.5% of the employee's salary on their behalf with employees paying for their half of the PERS contribution through a pre-tax salary reduction.

The Nevada System of Higher Education (NSHE) does not participate in the federal Social Security System but does contribute to the federal Medicare program.

This means that while you are employed by NSHE neither you nor NSHE contribute to Social Security and you do not earn a Social Security benefit.
