Annual Compensation Range- $70,000-$90,000

We are looking for an Executive Assistant who will be in a role supporting executives with administrative tasks. Most of the time spent will be supporting the President / CEO.

This person will also split their work time between the CFO (approximately 25%) and VP of Operations (approximately 25%).

There will be occasions where the Executive Assistant will need to be flexible and work outside of typical 8 : 00am - 4 : 30pm business hours.

RESPONSIBILITIES :

  • Act as the point of contact for CEO, CFO and VP of Operations.
  • Manage executives' calendars and set up and coordinate internal and external meetings.
  • Manage financial administration tasks including expense reports, receipts, and invoices.
  • Make travel and accommodation arrangements for executives and potentially other guests.
  • Format information for internal and external communication (e.g., memos, emails, presentations, reports).
  • Collect and coordinate monthly reports, combine documents, format and provide to CEO in standardized manner.
  • Take minutes during internal meetings summarizing key points, capturing action items and disseminating.
  • Screen and direct phone calls and distribute correspondence.
  • Anticipate work-related needs of executives after getting to know their work styles and their job responsibilities.
  • Plan and organize company events (including internal and external meetings, team events, celebrations for company milestones, and off-site retreats), for both in office and remote employees.
  • Coordinate quarterly All-Associates meetings, Leadership Team meetings and Board meetings.
  • Coordinate off-site Board meetings, executive meetings, conferences and other customer events.

Skills & Requirements

  • Must have high school diploma; preferably a Bachelor's Degree, or similar experience to support role.
  • Proven ability to support multiple executive level managers
  • 4+ years of experience as an Executive Assistant or similar role
  • Excellent MS Office knowledge including PowerPoint, Excel, Word, etc.
  • Outstanding organizational and time management skills in managing e-calendars, travel, etc.
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Attention to detail in all work
  • Excellent organizational skills
  • Excellent writing skills
