Job Summary :

The Proposal Coordinator will support the marketing department by coordinating the development of proposals, presentations, and marketing materials.

The Proposal Coordinator will help respond to Request for Qualifications (RFQs), Request for Proposals (RFPs), Statement of Qualifications (SOQs) and manage the proposal development process to ensure on-time delivery of compelling, compliant, and well-written submissions.

The position involves proposal generation, writing, proofreading, editing, production and coordination with multiple parties.

This role also involves researching, CRM / database updating and supporting other marketing department staff. The Proposal Coordinator should exhibit strong writing skills, organization skills, a good eye for graphic design and an appreciation for the built environment.

The coordinator should be able to balance multiple, rapid tasks and deadlines. In this role, you will :

  • Act as the central point for assigned proposals and coordination.
  • Search for and analyze RFQs, RFPs and SOQs to create outlines and development plans.
  • Coordinate proposal kickoff, as well as prepare detailed proposal plans, schedules, outlines and metrics for all phases of proposal development.
  • Solicit management reviews and approvals during proposal development
  • Monitor proposal content to ensure compliance to RFP requirements, evaluation criteria and technical requirements
  • Liaise with partnering A / E / C firms to ensure that all materials are integrated for joint pursuits.
  • Manage production and the distribution of all proposal documents to appropriate internal and external stakeholders for approval.
  • Maintain marketing libraries of proposal-related information including write ups, marketing literature and resumes.
  • Maintain RFQ / RFP calendar to create transparency through marketing department and leadership.
  • Coordinate production of all marketing department submittals.

You will be a great fit if :

  • You have a Bachelor’s degree preferred in marketing, communications or related design field
  • You have 3-5 years of experience, ideally in A / E / C marketing

Skills / abilities :

  • Proficiency in Adobe InDesign and Microsoft Office Suite
  • CRM and database experience preferred
  • Strong writing skills
  • Excellent organizational skills
  • Ability to balance multiple priorities successfully

Location : Louisiana, Texas, or Oklahoma Travel : up to 10% required
