Key Responsibilities
Onboarding :
- Oversee the hiring and rehiring processes, ensuring all necessary Paycom checklists and paperwork are completed. This includes processing PAFs, I9s, E-Verify, job verifications, etc.
- Oversee the onboarding process and provide new hires and rehires with essential company information.
- Create and maintain new hire / rehire paperwork packets.
- Conduct reference checks for new hires.
Employee Relations :
- Create and maintain employee disciplinary folders, ensuring they are scanned and stored properly.
- Maintain time and attendance records, including violation points, and provide updated information to managers.
- Provide guidance and support to managers regarding employee performance, conduct issues, and disciplinary actions. Create disciplinary forms as needed.
- Investigate staff incidents, complaints, sexual harassment, discrimination, and other issues.
- Assist the management team with disciplinary recommendations and completion of related forms.
- Team development / periodic employee roundtables
Benefits / Leave of Absence (LOA) :
- Manage benefit enrollment processes, including completing monthly enrollment reports, assigning Benefits Eligibility Profile, and / or qualifying events, notifying employees of eligibility, and assisting with enrollment.
- Report all LOA such as FMLA, reports, and track employee hours and return-to-work statuses.
Miscellaneous :
- Coordinate with department heads to determine staffing needs, create classified ads for open positions, and post ads on various platforms.
- Track and manage expiring work authorizations, alert employees of upcoming expirations, and update I9 forms.
- Complete and administer online worker’s compensation claims.
- Prepare and submit annual OSHA reports as needed.
- Create letters of recommendation and employment verification letters for staff.
- Maintain records of food handler and alcohol certification, coordinate with managers for completion, and schedule alcohol update meetings.
Ensure records are accurate for health inspections.
- Stay informed about all labor / internal policies, service procedures, and standards.
- Manage PAFs, including minimum wage increases, raises, promotions, and terminations.
- Communicate with payroll to handle final paychecks upon termination and address payroll adjustments such as retro payments, missed deductions, and garnishments.
- Complete government forms inquiries and employment verifications for financial institutions.
- Ensure labor law compliance by updating state and federal posters and processing sick time and PTO requests for employees.
- Oversight of bi-weekly payroll and an understanding of the process
Qualifications :
- Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience) preferred
- 3+ years of experience in HR.
- Proven experience as an HR Manager or similar role.
- Knowledge of Illinois / Chicago HR laws and regulations, including labor laws and OSHA requirements.
- Experience with Paycom or similar HRIS systems.
- Excellent communication, interpersonal, and organizational skills.
- Ability to handle sensitive information with discretion and professionalism.
- Excellent Microsoft Office skills : MS Word and Excel.
