Description

The Coordinator is responsible for comprehensive academic management and operational support for the Penn Center for Healthcare Improvement & Patient Safety (Penn CHIPS).

Penn CHIPS has a suite of discrete healthcare quality & safety (HQS) educational programs that are housed within the Perelman School of Medicine (PSOM) including a Master of HQS, Graduate level Certificate in HQS, Graduate level Concentration in HQS, Penn Medicine graduate medical education track in HQS, PSOM medical student area of concentration in HQS, PSOM medical student summer internship, and various other educational programs designed to enhance the work of the healthcare quality and safety community across campus.

The Coordinator will support leadership in overseeing the planning and logistics of the center and all affiliated programs.

The Coordinator will work both independently and collaboratively, often with competing tasks and deadlines. Creative problem-solving and flexibility with changing tasks are required.

Must have excellent time management, organizational, customer service, and communication skills to balance needs from various programs.

Candidate should have an interest in creating and enhancing processes to help the small team work efficiently. Knowledge of how academic programs work is preferred.

The Coordinator will be responsible for :

  • Supporting the recruitment, admissions, and graduation processes.
  • Coordinating student orientation. Supporting students, including tracking student progress; supporting students with registration, billing, navigating University systems, and assisting in the graduation process.

Communicating with the Master and Certificate Program office as needed to troubleshoot registration and billing issues.

  • Overseeing the system maintenance for new and existing courses including managing the learning management system, the course inventory system, the course section management system, and the Course and Program Evaluation processes.
  • Coordinating graduate course and didactic sessions logistics including classroom reservation and setup, catering needs, Canvas updates, and software ordering and distribution.
  • Assuming responsibility for program and course scholarships for Penn CHIPS students and non-degree students.
  • Updating marketing content for the various programs and publicizing the programs internally and externally. This includes supporting leadership in updating and developing marketing content for recruitment, general newsletters, social media accounts, and maintaining websites.
  • Maintaining the student and alumni database and the Customer Relationship Management system.
  • Assisting in maintaining data related to the accrediting body, CAHME. This includes entering data, updating meeting agendas, taking meeting minutes, and organizing surveys.
  • Coordinating, scheduling, and advertising info sessions, seminars, workshops, and special events.
  • All scheduling needs for the center’s leadership including monthly, quarterly, annual, and ad-hoc meetings.
  • Submitting orders, making payments, and processing reimbursements for all program-related operational needs including processing stipends for affiliated faculty and staff.
  • Providing general administrative support as needed.
  • Other duties as assigned.

Qualifications

Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.

Targeted Pay Range : $61,000-$63,000

This Targeted Pay Range is only applicable to this job posting. All salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
