Job Summary
The Graduate Medical Education Program Manager collaborates with Residency / Fellowship Program Director(s) in maintaining program / institutional accreditation and is responsible for operational and financial management of GME program(s).
The position requires a comprehensive and detailed understanding of national accreditation policies, national recruitment processes, national databases, and institutional policies plus a high degree of initiative and independent judgement.
The GME Program Manager continually assesses and directs a wide range of programmatic functions as well as delegating work.
These functions include planning, recruiting medical students / physician candidates, analyzing and organizing administrative workflow, project development and management, maintaining databases, communicating with faculty and residents on a wide range of issues, and managing internal and external relationships.
Minimum Qualifications
Minimum Education : Bachelor's Degree
Minimum Years of Experience : 2 Years of Program Management Experience and / or GME Experience
Substitutable Education & Experience (Optional) : In lieu of an Bachelor's Degree and 2 Years of Program Management Experience and / or GME Experience, will consider one of the following combinations :
Associates' Degree and 4 years of Program Management Experience or 3 Year of GME Experience;
High School Diploma (or Equivalent) and 7 Years of Program Management Experience, or 4 Years of GME Experience
Has successfully completed the LMC Fellowship (or is within the acceptable interview period with successful completion pending)
Required Certifications / Licensure : Active TAGME certification (or must achieve within 3 Years of entry into the role)
Required Training : Must be willing to attend Lexington Medical Center Transition to Leadership Program within 6 months of position
Essential Functions
- Manages all components of ACGME accreditation to include self-studies, site visits, special reviews, and documentation for GMEC approval.
- Oversees and manages HR functions for residents to include employment requirements, visas (when applicable), time off / leaves of absence (adhering to accreditation limitations), and payroll;
provides guidance and assistance to residents with verifications, loan forbearance, notarization, etc.
- Plans and manages resident recruitment activities to include the applicant screening process, organization of interview materials and schedules, facilitating virtual and in-person interviews and interview logistics, preparing materials for the rank order process, and certifying the rank order list.
- Manages curriculum administrative functions to include mapping core competencies, milestones, and evaluations of residents;
the faculty and rotation evaluation process; proctoring annual in-training exams, facilitating resident orientation; managing logistics of conferences and didactics (e.
g. grand rounds, noon conferences, and special educational sessions); and ensuring documentation in ACGME Accreditation Documentation System (ADS) of faculty and resident data to include procedure and visit statistics and scholarly activity.
Duties & Responsibilities
- Plans and implements departmental events including resident orientation, graduation, program retreats, clinical competency committees, the Annual Program Evaluation (APE), and other meetings and program-related events.
- Ensures data entry into the GME residency management software and ACGME accreditation data system; maintains the national Electronic Residency Application system (ERAS) and oversees its interface for residency recruitment;
and performs National Residency Matching Program (NRMP) responsibilities including quota review rank order list entry, and certification.
- Manages resident rotations and call schedules; tracks and analyzes clinical and educational work time and reconciles with the LMC Reimbursement team to ensure accuracy of CMS cost report as well as compliance with accreditation work hour requirements.
- Oversees program finances to include budget development, analyzing financial data, and managing resident and program expenditures.
- Participates in development of program policies, procedures, and processes in alignment with institutional and accreditation requirements;
communicates and counsels residents on processes and their impact on residency.
- May supervise GME Program Assistant(s), delegating work as appropriate.
- Performs all other duties as assigned or as necessary for the success of residency programs and GME.
