Flyspace Productions is a full-service, woman-owned event management and production company. We produce some of the largest festivals and live events in the region, in addition to numerous private, corporate, and community events.

We provide our clients with support from a full-service, in-house Production Department that provides technical equipment including concert audio, lighting, truss, and rigging, as well as the largest fleet of Stageline Mobile Stages on the East Coast.

We are seeking an Operations Coordinator to be part of the Production Department and be responsible for operational support for projects such as festivals, galas, corporate events, live performances, and brand activations.

The incumbent is also responsible for assisting with various logistical processes such as fleet coordination and staffing coordination.

The Operations Coordinator will report to the Logistics and Operations Manager. This position has the potential to move from contract to permanent.

A successful candidate will be very detail-oriented, able to communicate clearly to a variety of stakeholders, able to multi-task, and able to remain calm in a fast-paced environment.

Job Responsibilities and Requirements

  • Assisting with staffing part-time and overhire crew members for festivals, events, performances, and more.
  • Communicating shift information with overhire crew members and acting as liaison between the Event / Project Managers and the onsite crew.
  • Assisting with the hiring, onboarding, and training of overhire crew members.
  • Maintaining the day-to-day scheduling of the company fleet.
  • Projecting upcoming fleet needs and identifying when additional resources need to be acquired, including additional drivers.
  • Assisting with travel arrangements such as booking flights, accommodations, and rental vehicles.
  • Collaborating with other members of the Logistics & Operations team to ensure smooth cross-departmental operational flow.
  • Incorporating post-project feedback and assisting in implementing new processes to streamline operational functions.

Preferred Qualifications

  • One (1) or more years of experience in an operational role.
  • Familiarity with live event production and the unique workflow involved.
  • Ability to proactively communicate with senior stakeholders.
  • Strong time management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and work efficiently with minimal supervision.
  • Advanced computer skills, proficiency in Google Suite, and ability to quickly learn other logistic management applications.
  • Ability to establish rapport with crew members primarily using digital communication.
  • Understanding of the creative process and the ability to work closely with colleagues diplomatically and professionally.
  • Willing to work a flexible schedule that may include occasional weekends and holidays.
  • Must be 18 or older.
  • Must be legally permitted to work in the US for this employer.
  • Valid driver’s license desired and the ability to safely operate a personal or company owned vehicle.

Full Time and Part Time positions are available, with competitive pay that is commensurate with experience.
