Security Receptionist Tennessee Department of State Tennessee State Library & Archives Mission : The mission of the Office of the Secretary of State is to exceed the expectations of our customers, the taxpayers, by operating at the highest levels of accuracy, cost effectiveness, and accountability in a customer-centered environment.

Supervisor : Facilities Management Director Summary : Serves Library & Archives patrons, guests and staff as security receptionist in the main lobby, performs a variety of receptionist duties and security-related duties, registers library users and routes other visitors and guests.

Duties / Responsibilities : Welcome all patrons, guests and visitors in a friendly, professional manner, assuring a pleasant, safe experience for all who enter this facility.

Perform opening and closing procedures, provides building security, coordinates with after-hours contracted security, assuring along with the facilities management section that this facility is secure 24 hours a day, 7 days a week, 365 days a year.

Answer patron questions of general information regarding the Tennessee State Library & Archives including facility guidelines for library access, parking, and security requirements for building egress and ingress.

Perform patron security check of personal items being carried into and out of the library public areas, providing the building security checkpoint for all who enter and exit to prevent / discourage theft.

Monitor remote surveillance cameras assuring proper security access clearance of patrons, guests and staff that enter and exit the building;

monitors patron parking. Effectively use automated systems to register users and issue library cards Provide notification to staff of the arrival of visitors, guests, and meeting attendants who sign in at the lobby and require staff escort while in the building.

Serve as contact for contractors, architects, engineers and other state employees visiting TSLA Facilities Director’s office regarding the daily maintenance and operation of the facility.

Answer phones and give information, utilize Aiphone system to give access to authorized personnel. Schedule involves regular weekend and some evening work hours.

Perform other duties as required. Minimum Qualifications : Education and Experience : Education equivalent to graduation from a standard high school.

Knowledge of basic reading, writing and arithmetic sufficient to understand simple written instructions, e-mail, etc. pertaining to building systems and security requirements.

Knowledge and Abilities : Possesses skills in basic computer operations such as Microsoft Outlook, scheduling software, and entering customer information into a database.

Possesses skills in evaluating and screening patrons, guests or visitors to avoid potential security issues. Consistently greets and meets staff and members of the public in a friendly, professional manner.

Writes clear correspondence. Works in close proximity with co-workers. Ability to follow written or oral instructions. Assists the organization to create a safe and healthy working environment by working safely with the equipment provided.

Performs monthly visual inspection of all facility portable fire extinguishers Physical Requirements, Health Safety, and Collections Security : Ability to view and monitor activities on remote surveillance cameras.

Capable of walking during security rounds and parking surveillance. Possess ability to simultaneously utilize telephone and computer system for extended periods.

Possess ability to sit for long periods. Assist the organization to create a safe and healthy work environment by working safely with the equipment provided.

Follow instructions given for health and safety purposes and immediately reporting any unsafe working practices or hazardous working conditions.

Take whatever measures are necessary to protect the collections from loss, mutilation or theft. Lift and carry up to 25 pounds on a consistent basis, and move desks and chairs.

Direct personnel and visitors during emergency evacuations. Salary : $42,000 annually plus the State of Tennessee benefits package Powered by JazzHR
