Job Description :
We are seeking a highly experienced and motivated Executive Legal Assistant with over 10 years of experience to provide advanced administrative support in a mid-size law firm.
This position demands a professional with exceptional organizational skills, a strong understanding of legal processes, and the ability to work independently and efficiently in a fast-paced environment.
The ideal candidate will have a proven track record in assisting senior leadership and managing critical legal matters while delivering outstanding client service.
Key Responsibilities :
- Executive Support : Provide high-level administrative assistance to senior partners and managing partners, including managing calendars, scheduling meetings, and preparing for client and internal meetings.
- Document Management : Prepare, format, and proofread complex legal documents, including contracts, briefs, memoranda, and client correspondence.
Maintain an organized filing system and ensure compliance with firm policies for document retention.
Client Relations : Serve as the primary point of contact for clients, responding to inquiries, addressing concerns, and providing updates on ongoing matters.
Build and maintain strong, trusting relationships with clients.
Schedule & Prioritize : Proactively manage and coordinate daily schedules, appointments, and meetings for multiple partners.
Review priorities and anticipate upcoming needs to ensure that deadlines are consistently met.
Legal Research & Preparation : Conduct legal research and assist in the preparation of case files, discovery documents, and other legal materials.
Ensure all relevant materials are organized and easily accessible.
Billing & Timekeeping : Assist in the management of billing processes, including time entry, invoicing, and tracking of client expenses.
Ensure compliance with billing guidelines and deadlines.
- Administrative Efficiency : Perform general office duties such as preparing reports, organizing files, managing office supplies, and liaising with other departments to maintain smooth operations.
- Team Collaboration : Work closely with other legal assistants, paralegals, and support staff to ensure seamless operations and client service.
Provide mentorship and guidance to junior team members as needed.
Confidentiality & Compliance : Handle confidential information with the utmost discretion and integrity. Ensure that all work complies with firm protocols, legal standards, and confidentiality requirements.
Key Qualifications :
- Experience : Minimum of 10 years of experience as an Executive Legal Assistant in a law firm, with significant experience supporting senior attorneys or managing partners.
- Legal Expertise : Strong understanding of legal terminology, document preparation, case management, and the overall workings of a law firm.
Prior experience in practice areas such as corporate law, litigation, or real estate is a plus.
- Communication Skills : Excellent verbal and written communication skills with the ability to interact professionally with clients, attorneys, and external stakeholders.
- Organizational Excellence : Outstanding organizational and time management abilities, with the capacity to manage competing priorities, deadlines, and complex tasks.
- Technological Proficiency : Expertise in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and document management systems.
Experience with legal billing software and timekeeping systems is highly preferred.
