Job Summary
Responsible for the coordination of the Brachial Plexus Clinic; liaises with other departments such as OR, MRI, Radiology, etc.
to ensure coordination of patient care. Provides administrative support services such as scheduling appointments, tests, admissions and procedures as needed.
Prepares correspondence and manuscripts, schedules meetings, maintains records & files, and conducts special projects as assigned by Physician and Leader.
Job Specific Duties
Responsible for the coordination of the Brachial Plexus Clinic; liaises with other departments such as OR, MRI, Radiology, etc.
to ensure coordination of patient care.Â
- Coordinates and schedules surgeries, procedures, and diagnostic testing for patients. Obtains authorizations and follows up on pending requests in order to meet patient needs.Â
- Ensures patient flow is maximized to meet service standards. Performs service recovery when applicable to maximize patient and family satisfaction.Â
- Answers and screens calls for Physician(s) and Leader regarding patients, medical results, pharmacy prescriptions, and refills in a professional manner.
Takes messages as needed.Â
- Maintains a log of Physicians†Continuing Medical Education credits, all associated expenses, and teaching hours.Â
- Checks documentation being submitted for Physician's attention to ascertain all relevant data, files, signatures, etc. are included.Â
- Gathers data for general information purposes or special reports, contacting other employees, departments, agencies, and individuals for additional documents and / or reports as necessary.Â
- Prepares medical reports and / or documents for Leader's or Physician's approval.Â
- Makes appointments and maintains calendar, recording such items as medical conferences, rounds, schedules, consultation requests, etc.Â
- Acts as liaison between employees, agencies, and other physician practices.Â
- Processes all travel applications and makes travel arrangements including hotel reservations.Â
- Transcribes letters, memoranda, medical examinations, clinical referrals, case summaries, initial workups, consent forms, laboratory reports and / or research summaries.Â
- Enters patient demographics and insurance information in the scheduling / appointment book of EHR with the preset criteria and appointment slots for each clinic.
- Obtains tests / visit authorizations and collects necessary information for appointment / admission. Distributes relevant medical data and follows up with clinical indications following medical review.Â
- Prior to clinic admission, e-mails parent questionnaire and asks for prescriptions and referrals. Follows up on MD approval for appropriate clinic visit and stores data / information into EHS.Â
- Registers patients on clinic day; activates accounts, controls physician / patient flow to assert patient was seen by an MD, and confirms all other MD appointments / visits.
Follows up on all MD visits.Â
- Coordinates in advance with each specialty to assure (on clinic-day) patient is seen by all providers. Keeps teams informed of changes to the schedule.
- Coordinates patient discharge after clinic. Inputs & updates information in EHS. Transmits clinic consensus to MDs & other consultants treating the patient.
Provides follow up appointments & testing.Â
- Assists in the coordination of NCHS brachial plexus conferences. Responsible for the assisting in the development of brachial plexus teaching tools / presentations in an electronic and technological format.Â
- Floats, covers, and provides assistances to department, other clinics, and staff members when needed or requested by leaders.Â
Qualifications
Minimum Job Requirements
2-4 years of healthcare / physician's office experience
Knowledge, Skills, and Abilities
- High school education or equivalent preferred.
- Bilingual : English / Spanish highly preferred.
- Knowledge of grammar, punctuation, spelling, and business related writing skills.
- Knowledge of medical terminology.
- Knowledge of office equipment and system programs including Microsoft Word, Excel, PowerPoint and Internet.
- Able to organize and compose general business communication for review and signature.
- Ability to represent department / function in a professional, courteous, and efficient manner
