About the Department :
Procurement & Business Services (P&BS) is the umbrella organization of three departments : Materials Support, Procurement Services and WolfCopy.
Each department provides central office support services to the campus community.
Materials Support manages the disposition of university surplus property; provides leased warehouse storage space to campus departments;
manages the ordering, delivery, deployment and retail billing for compressed gas cylinders; and manages Central Receiving operations.
Procurement Services, by delegated authority from the State of North Carolina, Division of Purchase and Contract, is responsible for the procurement of all goods and services not exceeding $500,000.
The administrative function of the department is to ensure the use of proper and legal methods of procurement and to service the university by sourcing goods and services, managing supplier information, and processing payments in accordance with NC State University, UNC System and State of North Carolina statutes, regulations, policies and guidelines.
The WolfCopy program provides comprehensive managed print / copy / scan services and systems deploying and maintaining a network of secure multi-functional copiers, multi-functional printers and wide format printers (plotters) for use by campus business offices and students.
Essential Job Duties :
The Business System Analyst serves as the point of contact for addressing end user questions and support requests. This position’s focus will be on enhancing University business practices through automation and robust reporting systems, striving for continuous improvement.
In this role, you will get the opportunity to apply your strong attention to detail in order to identify and report system quality issues, taking action to escalate when necessary.
Additionally, you will provide data analysis, perform data manipulation and database cleansing. You’ll serve as the problem solver by researching and documenting technical solutions to complex challenges that meet departmental business needs.
You will also be instrumental in documenting functional test cases and onboarding eCommerce vendors, ensuring smooth operations and compliance with reporting requirements.
Additional key responsibilities include but are not limited to :
Subject Matter Expertise and Documentation :
- Serve as the subject matter expert for Materials Support and WolfCopy business systems.
- Develop, document, and maintain functional test cases, plans, and project specifications.
- Update and maintain Standard Operating Procedures and Manuals.
Data Management and Analysis :
- Monitor job failures, troubleshoot, analyze, and resolve problems within multiple relational database environments.
- Organize and ensure data integrity of reports, cross-referencing with internal databases and other sources.
- Design solutions to enhance internal data validation reports.
- Evaluate and modify system queries, perform data manipulation, and develop reports.
Technical Support and Solution Development :
- Troubleshoot, analyze, and resolve system and user problems. Escalate complex technical problems as necessary.
- Consult with IT Systems Support technicians and departments to resolve technical issues.
- Analyze and interpret supplier data reports, identify issues, and develop solutions.
Client Relationship and Communication :
- Provide best practices, policies, and instructions to assist campus users.
- Proactively establish positive client relationships, focusing on problem resolution.
Other Responsibilities :
Provide program support to meet organizational needs and deadlines.

Minimum Education and Experience :
Graduation from a four year college or university with a related degree to the area of assignment; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institution.
Other Required Qualifications :
- Proven work experience in a business systems analyst role.
- Experience in developing test scenarios to ensure quality production support.
- Basic knowledge of PeopleSoft Financials.
- Advanced MS Excel Skills, i.e. manipulate data and do analysis
Preferred Qualifications :
- 2-5 years experience in a business systems analyst role.
- Ability to troubleshoot, analyze and resolve problems within a relational database environment such as MS Access.
- Customer Support Experience
- Help desk experience using ServiceNow or other call tracking software.
- Strong analytical, problem solving and critical thinking skills.
- Ability to communicate clearly and accurately, with a sense of urgency as needed.
- Displays initiative, works well independently and as a part of a team.
- Proven ability to work on multiple projects simultaneously.
- Experience with a deadline driven work environment.
- Strong prioritization, organization and detail skills.
- Proficient in computer software including, Windows 10 / 11 OS Google Workspace and Microsoft Office.
- Excellent verbal and written communication skills. Working knowledge of the University financial organization.
