Position Description

Reporting to the Operations Manager - Projects, the Project Administrator will be the specialist for mass timber projects that are produced in our Spokane Valley facility.

The Project Administrator will oversee mass timber projects from the engineering and fabrication design stages through to project delivery.

As a member of the Mercer Mass Timber group, you will define the scope of work for mass timber at early design stages, optimizing projects for the best use of mass timber.

This position is based at our Mass Timber facility in Conway, AK. The Project Administrator will be within commuting distance of the factory

Responsibilities

• Attend project meetings, capturing action items and key decisions in minutes.
• Set up and maintain electronic and hardcopy filing systems including data entry and maintenance for projects in the Epicor ERP database.
• Administration and data entry for Distributor orders, provide status updates, and perform expediting functions.
• Distribute all documents to customers, suppliers, subcontractors, internal production teams, and maintain document logs.
• Review, analyse, and transmit submittals.
• Maintain Project and Order Trackers for reporting.
• Prepare and maintain submittal logs, change order logs, and requisition logs.
• Submit sample requests to production, track, monitor, and follow up to ensure clients receive samples, and samples have been approved (if applicable)
• Assist in preparation and distribution of Packing Lists
• Compile contract close out documents (LEEDs forms, warranties, etc.)
• Complete other responsibilities as assigned.

Qualifications and Experience

• Experience in project administration with a focus on construction projects.
• Strong understanding of construction methods, technologies, and industry best practices.
• Excellent communication and interpersonal skills to effectively engage with internal and external stakeholders.
• In-depth knowledge of project management, tools, and software (Procore, MS Project).
• Previous experience with ERP Systems (Epicor, SAP).
• Proficient - Advanced MS Excel user, ability to create pivot tables, charts, and write / interpret nested formulas without the aid of AI.
• Previous experience in Mass Timber, Construction, Engineered Wood Products, Lumber Wholesale, or Steel Manufacturing.
• Ability to navigate both Google and MS Office related applications.

Salary & Benefits

• The salary for this position is $60,000 - $70,000 USD and will be commensurate with education and experience.
