POSITION SUMMARY
Work closely with operations and the air team to achieve the highest work output. The position is responsible for building, entering, and maintaining components of costing a trip in our windows-based booking system called Kaptio.
Able to enter pricing content as required. Able to assist the air department with airline queues, pricing, and building an airline record in the airline system Amadeus.
Candidate must be detail-oriented, and self-motivated with great organizational skills. Amadeus and Kaptio systems training will be provided.
Requirements : Key Responsibilities
Key Responsibilities
- Continue and maintain existing trips and the ability to build any new trips for your assigned region. This involves verification of existing components and making necessary amends or building any new components in the system.
- Copy or create Transfers, Miscellaneous products, or Pre / Post accommodation and the ability to amend where necessary due to trip or supplier changes.
- Compile Excel spreadsheets for Package allotment, and the ability to release or increase rooms if necessary through Inventory Management in Kaptio.
- Accurately update and maintain Excel spreadsheets for our packages, including product notes, pricing, brochures, and miscellaneous spreadsheets.
- Cost and Price trips, Transfers, Pre / Post accommodation, and Miscellaneous products in Kaptio.
- Book applicable air itinerary in conjunction with scheduled tours to ensure accurate flight arrivals / departures and costing requirements within one hour of receipt of request.
- Provide prompt response to e-mail and phone requests for air-programs information from internal and external customers.
- Communicate with external customers to advise of applicable air itinerary changes resulting from an airline-initiated flight change.
- Work within a team to achieve performance standards for all air and operations department duties.
- Provide assistance over the phone for in-house reservation agents and managers.
- Process miscellaneous requests including seat assignments, special meals, and email confirmation requests.
- Process airline schedule changes and inform internal and external customers of changes.
- Process queues with efficiency and accuracy according to department protocol.
- Ability to keep open communication with other team members.
- Work directly with management on problem solving.
- Maintain the integrity of the company and our airline partners.
- Be available to work any hours during our normal business hours
- Other duties as required and assigned.
Qualifications
- 2 years in the travel industry preferred.
- Proficiency in Amadeus and Microsoft Office applications (Word, Excel, Outlook, PowerPoint) required. Internet proficiency is required.
Ability to learn in-house reservations system required.
- Excellent written and verbal communication skills required. Ability to interact with all levels of staff required.
- Ability to work Overtime when necessary required. Ability to work any shift during business hours including rotating weekends required.
