This is a full time, 100% ONSITE, TEMPORARY-to-HIRE opportunity that could lead to a permanent position and is located near Levittown, PA.
The working hours are Monday through Friday, 8 : 00a - 4 : 30p.
A well established and growing organization in the industrial sector is looking to add an Office Administrator to their team.
In this role, you must be technically sufficient and comfortable scheduling meetings, conference calls, and even diagnosing when clients / employees are struggling to connect.
Also, you will be the "face" of the organization, as you will work at the front desk and be a first point of contact for clients.
Therefore, customer service skills and a plesant personality are essential.
No particular software is required except Microsoft Office. Other responsibilities are as follows :
Responsibilities
- Scheduling and coordinating appointments, meetings, and conferences.
- Directing phone calls, emails, and inquiries to the appropriate personnel.
- Keeping the office well-organized and stocked with necessary supplies.
- Assisting in the preparation of presentations and reports, and ensuring their timely distribution.
- Managing and maintaining office records, documents, and files.
- Greeting and assisting visitors, clients, and customers, and providing them with relevant information about the organization's products or services.
- Streamlining invoicing processes to enhance efficiency and reduce errors.
- Entering data into computer systems and databases, and updating reports or PowerPoint decks as required.
- Providing support for the Accounts Receivable department and sending out invoices.
- Assisting the sales department with the preparation of documentation.
Requirements :
- 2+ years experience in an adminstrative / operational support type of role.
- Very technically strong. Able to work around a computer well, diagnose problems when scheduling meetings / calls, and assist other employees with some tech challenges.
- Outgoing, strong personality, customer-service oriented, and comfortable being setup at a front desk / greeting clients as they enter.
