POSITION SUMMARY

This position supports the work of the YMCA of Columbia-Willamette, a leading, philanthropic organization committed to strengthening the foundations of our communities.

The Vice-President, Finance stewards the Y's cause and advocates for the Y's mission and strategic plan, promoting and protecting the brand and reputation as a global, inclusive organization.

The Vice-President, Finance serves on the CEO's senior leadership team; oversees and manages financial matters, investments and information systems;

and provides strategic direction and leadership for YMCA business operations and initiatives. The Vice-President, Finance also positions the Y as a community convener and collaborator to address critical social issues.

GENERAL RESPONSIBILITIES

I. Financial Development

Working with the YMCA's CEO and upper management, manages the YMCA's finances, establishes budget processes and monitors revenue / expense, controls costs, and ensures that operating strength and integrity are sustained.

Direct areas of responsibility include :

a. monitors monthly financial operations, prepares analysis and reports, and gives guidance to executive and regional staff;

works closely with regional staff on issues that affect financial outcome; secures and allocates program or project resources so that strategic objectives can be achieved

b. reviews, updates, and / or develops internal control systems for the YMCA and oversees internal

audits which check for compliance on a variety of policies and standards

c. oversees and certifies the annual audit and meets periodically with the outside auditors to maintain communications and keep them informed of changes in the YMCA;

ensures that current accounting standards and legal requirements are met

d. manages investments, including endowments, under the direction of the Investment Sub-Committee, and within the risk tolerance expressed by the Board via the Investment Plan and Investment Policy

e. develops performance indicators and measurement systems for tracking strategic plan objectives; evaluates current business models and makes recommendations to modify or redesign business models

where necessary

f. oversees preparation of reports to YUSA and governmental agencies

g. oversees preparation of annual tax returns, including IRS Form 990 and property tax returns

h. works with the CEO in the development of the annual operating budget; works closely with regional staff to ensure that regional budgets are well-planned, realistic, and prepared in a timely manner

i. establishes, maintains and / or monitors all banking and financing relationships

j. provides strategic direction and analysis for all financing by the Association, including leasing, banking and other relationships to ensure the Association is properly financed and compliance obligations are met

k. collaborate with regions to develop operating pro-forma, financial modeling and analysis to identify opportunities and risks associated with projects, ventures and programs

l. oversee negotiation and execution of material vendor agreements, bids, contracts and services to ensure optimal service and pricing

m. work with CEO and COO to select and engage outside consultants, including financial advisors, auditors, and attorneys.

n. manage cash flow and forecasts by working with regions to develop cash flow projections, including operating forecast and capital needs

o. understand scope of risks within the organization, assess impacts, work with leadership to mitigate risk and report on exposures

p. oversee annual commercial insurance renewal alongside broker

q. ensures all General Ledger, Fixed Asset and Financial Statement systems and files are maintained in an orderly fashion.

II. Philanthropic Development

Working with the CEO, Vice-President of Philanthropy, and related staff, ensures the success of the Y's annual philanthropic plan.

Direct areas of responsibility include :

a. works directly with the association's Vice-President of Development in all aspects of annual philanthropic efforts

b. reviews grant procurement process; manages grant award reporting and auditing; ensures that all grants are properly recorded and tracked;

works with VP of Philanthropy on all grant budgets, grant tracking, and reporting requirements

c. engages with local Y stakeholders and community leadership

d. helps identify prospective investors who have the capacity to make significant gifts for capital, annual, and endowment efforts advancing the Y's strategic plan

III. Staff Development

Builds and manages an effective staff team, evaluating strengths and weaknesses and establishing a plan to build unity and professional growth.

Fosters teamwork and individual staff development throughout the association. Direct responsibilities include :

a. supervises a team of direct reports in the Association's Finance Department

b. ensures that all job descriptions are in-line with practices of the association

c. develops agreed upon performance standards for all direct reports

d. participates in Association / regional staff meetings and related Association events

e. helps identify methods to recognize staff and build the fabric of teamwork throughout the association

f. provides appropriate training resources for staff team to ensure a high level of job productivity and personal satisfaction

g. encourages staff participation / input in all facets of organization

IV. Volunteer Development

Develops and nurtures a diverse pool of influential volunteer ambassadors that actively support the Y's mission, goals and strategic plan.

Direct areas of responsibility include :

a. actively engages the board in challenging conversations and decision making to advance the Y's impact

b. primary staff liaison for financial matters with assigned committee(s) of the board (e.g., Finance, Investment, Audit) to develop policies, monitor their implementation and meet the related needs of the board

c. builds bridges within the community so that all segments of society have access to the Y

V. Community Development

Serves as the ambassador and face for the mission and purpose of the YMCA, while being active in civic and community groups.

Direct responsibilities include :

a. maintains good working relationships with auditors, bankers, investment counselors, attorneys and other professional advisors

b. positions the Y as the philanthropic, community-benefit organization that is differentiated from other

providers and organizations within the region

c. belongs and is an active member of a local service club and / or related community organization(s)

d. ensures that the Y's presence is represented at all pertinent and relevant community functions,

events, and / or meetings

e. develops positive working and collaborative relationships with other organizations, businesses, and

governmental entities promoting the Y's Mission and Strategic Vision

QUALIFICATIONS

  • Bachelor's degree in business, finance or equivalent; MBA, CPA or CMA preferred
  • Five or more years of substantive experience in accounting and fiscal management
  • Knowledge and understanding of general business matters required including budget development, financial reporting, cash management, business taxes, banking relationships, and debt financing instruments
  • Knowledge of computer systems, including experience with system selection, new system implementation and project management
  • Personal computer skills required
  • Experience with investment management and asset allocation preferred
  • Experience in effectively managing a staff team
  • Previous experience with voluntary / nonprofit organizations preferred

The Vice-President, Finance is a key staff member in promoting and effectively achieving the Y's overall mission and organizational goals.

Successful completion of the aforementioned duties and responsibilities will have a significant impact on the overall growth of the association and advancement of the Y's Strategic Plan.
