Summary of Position : The Senior Administrative Assistant is a highly motivated, versatile, articulate, and positive individual who possesses excellence in managing diverse administrative responsibilities.
This role will perform multiple tasks for the Executive Staff, demonstrating exceptional communication skills, problem-solving abilities, and adaptability to ensure efficient coordination of administrative functions in a fast-paced environment.
This is a critical role that requires this individual to know pulse that is the heart of the business to maintain a highly functional office environment.
Responsibilities :
- Provide comprehensive administrative support to the CEO
- Provide high-level administrative support to senior executives
- Assist with preparing documents, reports, and presentations for executive meetings and presentations
- Calendar management
- Coordinating meetings, Luncheons, and engagements
- Understand levels of importance and urgency
- Screen calls, emails, and other communications by responding or redirecting as appropriate
- Handle extremely confidential information with discretion and maintain strict confidentiality
- Oversee daily office operations, including managing supplies, equipment, facilities, and keep a record of associated costs, make recommendations for cost-saving
- Manage shipping logistics, ensuring accurate, and timely shipping, and mail distribution
- Organize and maintain files, correspondence, records, and other documents
- Creating and maintaining documents utilizing Word, Excel, and PowerPoint
- Complete, and prioritize ad hoc projects and reports as assigned
- Work closely with human resources to coordinate travel arrangements, assuring all travel needs are scheduled, confirmed, and communicated to the appropriate team member
- Assist with obtaining necessary travel documents, such as visas, Employee Information Forms, and travel insurance when needed
- Coordinate catering services for office events, meetings, and special occasions
- Identify opportunities for process improvements and efficiencies with office operations
- Perform other tasks as assigned
Requirements :
- Bachelor's degree preferred, but not required, Associate's degree with preferred experience
- 5 + years of proven successful experience as an office manager and / or executive assistant
- Strong problem-solving abilities and decision-making skills
- Must possess a strong commitment and passion to work in a fast-paced, team-oriented environment
- Must be articulate, detail-oriented, and have strong follow-up, organizational, and administrative management skills
- Ability to initiate and follow through on tasks independently, strong self-starter
- Ability to multitask, assess priorities, and maintain composure, professionalism, and diplomacy at all times
- Excellent verbal and written communication skills
- A strong sense of urgency
- Ability to multi-task, stay organized, and meet deadlines
- Complete understanding of the importance of confidential information
- Must be versatile and embrace & lead change
- Ability to support multiple team members across various departments.
- Proficient in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and DocuSign.
- Maintains a positive attitude, fostering a supportive and collaborative work environment.
