1. Relationship Management :
- In partnership with FM leadership maintain strong, effective business relationships and strategic operational guidance of our Alliance Partners OneTeam members and other 3rd party service providers responsible for delivering key elements of our Employee Experience program.
- Maintain an effective business partnership with real estate and business leaders, to ensure alignment between real estate services and business leaders, resulting in a comfortable work environment that provides optimal employee Convenience, Comfort, Safety and Productivity, with minimal distractions, where employees and business operations naturally thrive.
- Maintain effective relationships with Landlords and property management teams, ensuring compliance with lease terms and conditions, and timely resolution of issues.
- Build and maintain strong relationships with key contacts on-site. Act as primary point of contact for issue resolution.
Communicate and follow-up effectively with end-users.
2. Proactive Continuous Improvement Programs and Processes
- Coordination and execution of Employee Experience services, including health and safety programs, food services, on-site fitness centers at specific locations, event planning and management, and oversight of additional high-touch services provided by the team and our Alliance partners.
- Work closely with a team of Sr. Chief Engineers, Regional Engineers, client leaders and third-party service providers, to assist in the delivery of maintenance programs designed to ensure employee comfort, safety and business continuity.
- Support projects and initiatives that that enhance employee engagement, increase productivity, reduce operating costs and risks, and create value and enhanced Client satisfaction.
3. Operational Processes, Compliance and Financial Management
- Comply with client and JLL annual training requirements for assigned team members, including safety, information security, client-mandated training, regulatory compliance and other training initiatives impacting client satisfaction.
- Provide overall facility services in accordance with accounts standard processes and procedures including application of policies and programs, coordination of information, and performance obligations specific to work order management, property inspection, and other real estate management services in compliance with JLLs master service agreement.
- Coordinate vendor activities on-site; Oversee vendor performance, track performance over time, and proactively provide feedback.
- Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities entrusted to the Facility Partners to manage on behalf of the client as owner.
- Assist with the preparation, submittal, and management of the facility operations expense budgets and forecasts in a manner that meets JLL and Client goals and objectives;
Assist with variance reporting as requested by FM.
- Assist with updating evacuation maps and conducting emergency drills as needed in compliance with client and OCP guidelines.
- Act as member of Emergency Response Team
- Act as primary point of contact for after-hours emergency support
- Support badging, badge access, and key security in partnership with Security
- Assist with preparation and management of multi-year Capital Project Plans in a manner that meets the clients goals and objectives;
use available tools to plan, manage and report performance of Capital and Operational projects.
- Coordinate and assist with planning / scheduling maintenance and repair activity. Work closely and collaborate with JLLs account Engineering Leadership Team, including 3rd party maintenance technicians, operating engineers, Senior Chief Engineers, and Regional Engineering Managers.
- Meet performance obligations specific to work order management, property inspection, client relationship management, the annual asset management plan, and other operational disciplines that are typical of integrated facilities management.
- Support account Project and Program Managers to facilitate effective and successful integrated team performance, ensuring successful project delivery within the assigned real estate portfolio.
- Perform minor facilities repairs on equipment and furniture per client and JLL guidelines
- Provide coordination and support for meetings and conference room reservations as needed and directed.
- Coordinate and oversee grounds care and snow removal in parking lots and on sidewalks
4. One Team / Alliance Partner Leadership
- Provide guidance and support of Alliance Partner / OneTeam members. Contribute effectively to the overall mutual success of all team members to ensure successful service delivery, including Project Management, Engineering, Sustainability and Lease Administration teams.
- Communicate frequently and effectively with the One-Team members and provide consistent direction, in-person where possible, or by phone for remote team members, to ensure quality and alignment of services.
- Track and report contributions and accomplishments on an on-going basis
- Escalate issues to real estate leadership as necessary to resolve OneTeam performance challenges. 5. Initiatives and Innovation :
- Determine opportunities for process improvement, cost savings initiatives, and general process and tool innovation to drive improvements in employee experience, operational excellence, and team productivity.
- Lead or support initiatives, and perform additional duties and tasks as periodically assigned.
