The Sr Level Executive Assisant is an operational role providing administrative support and facilitating efficient operations to meet current and future business needs within our Engineering services division.
This individual is responsible for professional services support to key Executive C Suite Leaders including EVP- Executive Vice President over DSS and ER&D to ensure continuity and successful delivery of functional services to users throughout the organization.
This individual will also work closely with our CPO and CHRO and other C Suite Leaders within the organization. The role involves active coordination across teams and demands outstanding inter-personal skills.
The candidate needs to be highly productive while managing multiple responsibilities and projects, able to make informed, timely and effective business decisions, is efficient, reliable, trustworthy with a high level of integrity, self-motivated, an excellent communicator internally and externally, and self-directed.
Evening and weekend hours might be required from time to time to support business needs. An exceptional customer-service approach is critical to success in this position, helping to create and reflect the values of collaboration and respectfulness.
The individual is encouraged to work on special projects and identify improvement opportunities. This is a hybrid role working from Santa Clara, CA Office, occasionally San Francisco office and the employee’s home office with occasional travel as needed up to 20%.
This individual will work closely with the leadership team in Santa Clara including CPO and SVP Engineering as well as CHRO.
Key Responsibilities
- Executive Inbox management of incoming email messages and correspondence including prioritizing, flagging, and redirecting messages to appropriate person to handle and escalating time or client sensitive emails.
- Complex Calendar OwnershipIncluding the proactive coordination of meetings and executive travel as well as setup of internal & external meetings / Teams calls / videoconferences, documentation of meetings and planning meeting agendas as required and collection and organization of briefing materials to fully inform the executive about the background and context of meetings.
Support of offsite meetings of the management team (with limited travel required)
Helping coordinate events and event management, some may be local others in other parts of North America, coordinating with global partners.
Support of visiting Group executives, event coordination domestic and occasionally globally.
- Time & expense reporting & reconciliation, expense approvals on behalf of executive. Travel coordination of Domestic and international (air, hotel, ground transportation, passports / visas).
- Technical support Includes resolving executive’s computer & mobile issues, sourcing, IT testing.
- Project Management including leadership conduct in support of leading calls, knowledge share and service delivery. Developing Decks, power points, coordinating all hands call meetings and working with leader’s team and others to put together agenda.
Document support and management Including client deliverables and contracts. Intranet / internet research. Manage workload distribution and compliance oversight.
Taking on additional tasks and projects as needed and leading.
- Partnering closely with different Capgemini divisions including HR, Legal, Talent Acquisition, Marketing, Sales Operations, and leaders within other business units domestic and globally.
- People Manager- will not manage anyone directly but may be a mentor to others. Managing, coaching, training, and developing others (growth in team members and / or sites over Associate level.)
Required Skills :
- Minimum ten years of experience providing Executive assistant and program management for C-Suite executives.
- Ability and comfort to interact with all levels of leadership both external and internal at the Group level (EVP, CEO, Group CEO.
Proactive business partner that is one step ahead in managing a dynamic and consistently changing work scope (vs just taking direction.
Exceptional communication skills both written and oral.
- Critical thinker with the ability to network and solve issues with minimal guidance. Strong organizational and multi-tasking abilities required including superior time management and quick response time.
- Demonstrate mature judgement and discretion in handling confidential information and appropriate escalation of issues to key staff.
- Proactive management of calendar and travel. Must be experienced with Microsoft Teams, Microsoft Office Suite and project management tools.
Strategize, implement, and maintain program initiatives that adhere to organizational objectives.
Bachelors Degree.

- Flexibility to work other hours when needed if something happens with travel or is urgent.

- Ability to partner with high level executive leadership and help them to succeed. Bachelors degree.
- Ability to work onsite in Santa Clara in a hybrid role up to minimum 3 times per week.
