Reporting to the Associate Provost for Student Success / Dean of Students, the Student Success Project Manager & Executive Assistant manages and supports the coordination of divisional projects and directly supports the Associate Provost for Student Success, the Dean of Students.
The Project Manager & Executive Assistant acts as the primary point of contact for both internal and external constituencies on all matters pertaining to the Associate Provost for Student Success, the Dean of Students.
The role assists and represents the Associate Provost for Student Success, the Dean of Students, in communicating with constituents.
The role researches, prioritizes, and follows up on multiple issues and concerns addressed to the Associate Provost for Student Success, the Dean of Students, including those of a sensitive and confidential nature.
More specifically, the Project Manager & Executive Assistant will work closely with the Student Success Leadership Team on projects relating to the Division.
The Student Success Project Manager & Executive Assistant will manage the divisional basic needs processes and be the lead project manager on creating the Student Success helpdesk to provide exceptional "customer service" to students, families, and campus partners.
This person will also support students whose experiences and various social and emotional issues may impact academics. Referrals may be generated to other units / departments on campus to assist the need of the student.
Major Responsibilities :
- Project Manager for Divisional Projects
- Oversee the coordination projects from the Student Success Leadership Team
- Meet with lead project managers to support their project management skills and competencies
- Plan and coordinate divisional events, including training and development logistics
- Support the coordination and the production and delivery of marketing and communication assets for the Division
- Executive Assistant
- Provide direct assistance to the Associate Provost of Student Success, Dean of Students - calendar support, projects, events, etc.
- Maintain and audit the department website, including biographical information, consistent with University Communications standards.
- Curate department social media accounts and align with the Divisional communication outreach
- Support the management of the Divisional Budget.
- Support the administrative processes associated with the hiring and off-boarding professional and student employees.
- Basic Needs Coordinator
- Manage the basic needs processes within the Division, more specifically, the Swipe Out Hunger program and emergency funding distribution.
- Student Success Help Desk Operations Coordinator
- Serve as the lead project manager on the development of the Student Success Help Desk Operations - hiring of staff, and the development of protocols for the first tier of frontline support for students, families, and campus partners.
- Participate in the growth and development of the Center, Division, and Clark University
- Support key initiatives and experiences within the Division of Student Success and the University, such as opening weekend, orientation, commencement, family weekend, traditional events, etc.
- Serve as a responsible committee representative as requested.
- Attend necessary meetings and inform staff regarding relevant information.
- Promote efficiency and courtesy throughout the University community and ensure consistency with the Division of Student Success mission and values.
- Remain cognizant of the University's mission and identity, the constant promotion of diversity, equity, and inclusion, and the importance of student voices.
- Communicate effectively with your supervisor concerning pertinent unit and / or University matters.
- Other duties as assigned that are within the best interest of the Division.
Job Requirements :
- The successful candidate will possess a Bachelor's degree with 3 to 4 years of relevant experience with administrative job functions.
- Knowledge of appropriate software, including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat.
