About the role :

Reporting to the Facilities Director, the Facilities Administrator is responsible for the overall cleanliness, safety and functionality of the office space and for monitoring and ordering office

supplies. This role serves as the facilities subject matter expert and ensures that the physical space is maximized for productivity and efficiency.

The Facilities Administrator develops and

cultivates positive and productive relationships with external vendors and keeps leadership apprised of facility related incidents.

This role will directly assist in the management and

continued development of Facilities team members, conducting check-ins, delegating tasks, and managing timekeeping.

What you’ll do :

  • Oversee the office space and function, ensuring facilities are clean, welcoming and maximized for productivity and safety
  • Help organize, implement and maintain facilities operating procedures and standards
  • Manage office supplies inventory and place orders as needed
  • Help track monthly department expenses
  • Serve as subject matter expert on facilities core disciplines
  • Report facility related issues, address and complete task tickets on project management software (JIRA)
  • Lead quarterly facilities security audits
  • Serve as front desk back-up, assist receiving and directing visitors and employees
  • Provide management with regular status and incident reports highlighting new or pending tasks, urgencies, roadblocks, needed support, etc.
  • Track office seating changes and assist with event planning / office lunches
  • Assist with Facilities team goals and KPI tracking
  • Contribute to employee engagement activities and events
  • Foster positive landlord, building and vendor relationships
  • Participate in emergency training and assist with related procedures

What we’re looking for :

  • High School Diploma or GED
  • Experience leading or managing a team
  • Expert knowledge of MS Office applications (Word, Excel, PowerPoint)
  • Entrepreneurial spirit and desire for constant improvement with a willingness to learn
  • Independent thinker with strong follow through on requests and tasks
  • Customer service focused, with the ability to quickly build positive, productive relationships with internal and external partners
  • Ability to easily adapt and work in a fast-paced, exciting, and performance-driven environment
  • Preferred : Bachelor’s or equivalent experience
  • Preferred : Previous experience with property management, coordinating vendors, inventory tracking, badging procedures, emergency planning

Location : Onsite M-F(Chicago, IL)
