Your Responsibilities on the Team
Requires computer proficiency in various software programs for typing, updating reports and various DRE related documents.
Process legal documents in a timely manner, i.e., distribution for execution and mailing to necessary parties.
Maintenance of the divisional Excel DRE schedule and creation of Critical Task reports through the use of Pivot Tables.
Organize and maintain a central and shared filing system for all DRE and Sales related documents.
Coordinate and store all necessary documents in shared filing system
Email distribution of DRE Conditional and Final Reports.
Email distribution of recorded documents.
Obtain / exonerate HOA bonds.
Maintenance and circulation of DRE & HOA contact lists by community. Timely completion of Property Change of Ownership Reports.
Assist in the preparation and processing of check requests and invoices; Make photocopies, scan, and file documents as requested.
Assist with notarization of documents for the Division; Primarily responsible for processing of multiphase applications for public reports with the Department of Real Estate.
Attend initial start-up meeting on new communities and become familiar with all facets of the community development needed for DRE processing and formation of HOA’s.
Coordinate DRE processing and formation of association legal documents and budgets.
Process NOCs with Project Management and Title. Potentially will set up HOA for new communities and serve on HOA Board of Directors as needed.
Responsible for maintaining DRE Personnel Contract lists by community and assist with coordinating processing efforts with consultants.
Responsible for updating and circulating the DRE Timeline Schedule and prepare report on monthly basis.
Assist with coordination of sales disclosures with Sales and Marketing Department as needed.
Obtain FHA / VA Approval.
Perform all other duties as assigned.
Requirements
Department of Real Estate processing experience with builder or Title Company preferred, but not required
High School diploma or GED required
Valid CA driver’s license
Strong MS Word and Excel experience
Good written oral, organizational and math skills
Strong organizational / analytical skills
CA - Public Notary required at time of hire or ability to obtain
Physical & Office / Site Presence Requirements :
This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less.
Finger dexterity is required to operate a computer keyboard and calculator. May be required to operate a motor vehicle. This role is onsite / in office - 5 days week

General Overview of Compensation & Benefits :
We reasonably expect the base compensation offered for this position to range from an hourly rate of $25.97 - $35, subject to adjustment based on business-related factors such as employee qualifications, geographic pay differentials (e.
g., cost of labor / living, etc.), and operational considerations.
