Summary Description
The People First Recruiting Administrator is an integral member of the People First Department. This role provides administrative, coordinator and recruiting support to the Recruiter / s and hiring managers.
The emphasis of this role is to ensure that all administrative recruiting needs are met and that we continuously have a flow of candidates in Pre-hire process.
Confidentiality will always be maintained, with no exceptions. The success of this position will be demonstrated through a variety of deliverables, including but not limited to : Organization of applicant files such as initial documents, data entered in trackers and systems and paperwork;
accurate and timely reporting; efficient and accurate handling of all applicant and pre-hire paperwork; confidential and proper handling of all pre-hire paperwork, and upkeep of all administrative responsibilities in the recruiting sector.
Key Tasks and Responsibilities
Upholds the company core values.
Presents themselves in a professional, organized manner that conveys confidence and willingness to be approached.
Reviews applications and resumes to determine qualifications and relevance to job requirements
Performs administrative recruiting activities for all open positions.
Help with interviews as needed
Manages and submits all background checks
Manages and submits OIG, SAM and other checks as required by clients
Prepares and updates recruiting and Pre-hire trackers for all positions
Process Pre-hire documentation for all applicants
Offers solutions to general administrative issues
Manages full ATS system along with screening third party vendors
Completes two-week check in's with all new hires
Maintains great working relationships with staffing agencies as needed
Collaborates with the hiring managers and / or other human resource staff during the offer process
Calling clinics and reviewing all portals for results
Attends job fairs as needed
Escalates any discrepancies or hold with the pre-hire process
Other duties as assigned.
Education & Training
Must go through HIPAA and Fraud, Waste, & Abuse training.
High School Diploma
Knowledge and Experience
Proficient in oral and written communication skills
Outstanding and proven Customer Service skills
Must be flexible, able to multi-task, retain information, and have the capacity to work in a fast-paced work environment
The position may require sitting and / or standing for extended periods of time.
The position may require you to collaborate with other employees, managers, offices, and departments.
Must maintain confidentiality and use discretion.
Must learn and work with Leader Standard Work

Physical Requirements
While performing the duties of this job, employees are regularly required to sit, walk and stand; talk and / or hear, both in person and by telephone;
use hands repetitively to finger, handle, feel or operate standard office equipment including a computer; reach with hands and arms, and lift up to 25 pounds.
Working Conditions
Office environment, indoors, and potential from working from home.
Working Hours : Monday- Friday, 8 : 30am - 5pm PST
Hybrid Schedule : Required to be in-office (1) day out of the week.
