Summary of Position
The HR Specialist Leave of Absence provides guidance and support to managers and employees on Leave of Absence-related matters.
The goal is to provide employees and managers with guidance and support surrounding FMLA, Leaves of Absence, and other programs as they develop and evolve.
It is pertinent for the HR Specialist to maintain compliance while implementing fair and consistent protocols and practices.
The HR Specialist will be responsible for the timely review of leave requests, approvals, and correspondence with the employee and leadership.
They will also perform routine administrative work within the Human Resources Department in addition to assisting, when necessary, as the receptionist of the Administration Office.
Education : Minimum associate degree in business, HR, or related field.
Professional Licensure : None Required.
Experience : Minimum of 4 years’ experience in human resources as a non-entry level associate. Additional HR training, HR Certification, and knowledge is desired.
Key Responsibilities
- Manages Kintegra FMLA process, Leaves of Absence, and other related programs. Maintains proper and easily accessible record-keeping for all programs.
- Strives to ensure employees understand the leave programs by generating regular communications to employees.
- Provides employees with appropriate FMLA paperwork per DOL guidelines and maintains compliant records.
- Monitors intermittent leave and communicates with managers and employees on these requests.
- Submits FMLA paperwork to outside providers for completion and ensures its return in a timely fashion.
- Tracks employee FMLA hours and eligibility and assists managers with entering this time in ADP.
- Assists with accommodation requests related to leaves of absence.
- Facilitates monthly, quarterly, and end-of-year audits, as well as any other audits that are necessary to maintain compliance.
- Assists in ensuring compliance with HR state, federal, and local regulations along with other applicable laws.
- Assists with new hire onboarding process as needed, coordinating with cross-functional departments to deliver an exceptional experience.
- Maintains the integrity and confidentiality of human resource files and records.
- Supports the HR department administratively by maintaining compliant physical and electronic record keeping.
- Performs periodic audits of HR files and records to collect and file all required documents appropriately.
- Answers frequently asked questions from employees about standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate HR staff members.
- Provide coverage to the administration office receptionist when necessary.
- Demonstrates an in-depth understanding of human resource policies and procedures.
