Vaco is hiring for a Legal Project Assistant located in Jacksonville, FL.
The project assistant position is extremely important to keep the workflow moving properly and ensuring that the secretaries and paralegals can get all their work handled in a timely and efficient manner.
Responsibilities :
- Scanning legal documents, copying or faxing
- Labeling within document management system
- Answering calls
- Managing the mail within the office both electronic and physical
- Relieving the front desk associate when needed
- Providing administrative support
- Handling invoicing
- Various other administrative duties as assigned by their Supervisor, the Human Resource Manager and / or the Firm Administrator.
Skills / Education Required :
- Ability to take various assignment directives
- Strong communication skills both written and verbal
- HS Diploma
- Minimum of 1 year experience within a front desk or administrative role
- Organizational skills
- Accuracy and attention to detail
- Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette, and the ability to diffuse tense situations
- Ability to work well under pressure and navigate multiple deadlines
- Proactive approach to problem-solving and process improvement
- Ability to work well independently and in collaboration with others
