Job Description :
We are looking for a motivated and reliable Executive Assistant to support the Owner and Lead Designer of Kismet Event Design.
You will play a crucial role in supporting daily operations, managing administrative tasks, arranging travel, client communication, and ensuring the seamless execution of events.
The successful candidate must possess strong attention to detail, exceptional communication skills, excellent organizational abilities, and proficiency in computer usage.
You should also have a keen interest in learning about event design, planning or production.
Responsibilities :
- Assist Lead Designer and Owner : Handle client correspondence, prepare meetings, take notes, manage projects, arrange travel, and maintain schedules.
- Cultivate and maintain relationships with clients, vendors, venues, planners and coordinators.
- Liaise effectively between operation and production teams ensuring effective communication.
- Work cross-functionally with our accounting, sales, operations, production and creative teams to ensure sales objectives align with event planning and execution.
- Budget management and contract negotiation assistance.
Qualifications :
- Minimum one year experience as an Executive Assistant, Administrative Assistant, or similar role, preferably in the service / event industry
- Quick learner with strong organizational, time management, and problem-solving skills, adept at prioritizing and thriving under pressure.
- Ability to work both independently and collaboratively with a positive, proactive approach.
- Proficient in managing multiple projects and meeting deadlines in client-facing environments.
- Excellent communication and negotiation skills.
- Interest in event planning, design, or production is essential.
- Proficiency in Honeybook, Microsoft Suite, Google Suite, and Trello.
Schedule :
- On-site in Anaheim
- 8-hour shift
- Monday-Friday + some weekends
